As our practice continues to grow, we are looking for a casual Medical Receptionist to join our team.
About the Role
As a Medical Receptionist, you will be the first point of contact for our patients, ensuring they feel welcomed and supported. You will manage front-desk operations, coordinate appointments, and assist in the smooth day-to-day running of the clinic.
This role requires strong communication, attention to detail, and the ability to multitask in a busy medical setting. You will work closely with our Doctors, nurses, and administrative staff to maintain the highest standards of patient care.
Key Responsibilities
✔ Patient Interaction & Front Desk Management
- Greet and assist patients and visitors in a friendly and professional manner
- Answer telephone calls promptly (3-ring policy) and triage calls before placing on hold
- Take and relay messages accurately, ensuring proper follow-up
- Respond to and follow up on requests from healthcare professionals, including doctors, allied health providers, nurses, and management
- Communicate effectively and respectfully with all team members
- Open and close the clinic according to duty schedules
- Maintain a clean and safe workspace, adhering to workplace health and safety policies and procedures
- Coordinate and manage incoming and outgoing mail, couriers, and deliveries
✔ Appointment Scheduling & Administration
- Schedule, reschedule, and confirm patient appointments efficiently
- Maintain clinic calendars and coordinate with practitioners
- Process patient referrals and liaise with external medical providers
- Photocopy, shred, file, and link correspondence appropriately
- Ensure all administrative tasks are completed as per daily duty sheets
✔ Billing & Payments
- Operate HICAPS machine for processing health fund claims
- Process patient payments, issue invoices, and provide receipts
- Manage Medicare and private insurance billing, ensuring accuracy in transactions
- Explain billing procedures and insurance claims to patients when necessary
- Deposit clinic funds into the practice account as required, supplying deposit slips to management
✔ Clinic Operations Support
- Assist with general clinic cleaning, including tidying, dusting, and keeping reception/waiting areas neat
- Perform bathroom/toilet cleaning at the middle and end of the day
- Handle laundry duties (washing, drying, folding bed sheets and towels)
- Clean consult rooms and restock stationery and medical supplies
- Assist in maintaining a clean treatment room (Practice Nurse is primarily responsible, but assistance may be required)
- Important: Do not handle sharps – this is the responsibility of doctors
- Restock and organise medical supplies and administrative materials as needed
Ideally 1 year experience as a medical receptionist, but not required.

Pay: From $32.18 per hour
