B2B Steel Fixing Pty Ltd is a Victorian-based business operating within the steel fixing and construction sector. We are seeking an experienced and organised Project Administrator to support the effective administration and coordination of projects and associated business activities.
The successful candidate will work closely with management, project personnel, contractors, suppliers and other stakeholders to ensure that project administration, documentation, reporting and coordination requirements are completed accurately and within required timeframes.
About the Position
We are seeking a motivated and highly organized Project Administrator to provide administrative and coordination support across the company's projects.
The position involves planning and undertaking the administration of projects, maintaining project documentation and records, coordinating information between relevant parties, monitoring project requirements and assisting management with reports, submissions and project-related matters.
The successful applicant will be expected to work collaboratively with project managers, contractors, suppliers and other professionals to assist in achieving project objectives, meeting deadlines and maintaining accurate project records.
Key Responsibilities
- Coordinate and maintain project documentation, records, correspondence and administrative files.
- Assist with the planning, administration and coordination of projects from commencement through to completion.
- Coordinate project meetings, schedules, communications, documentation and other administrative requirements.
- Monitor project milestones, deadlines, deliverables and outstanding actions and provide updates to management.
- Prepare, review and maintain project reports, submissions, correspondence, records and other documentation.
- Assist in preparing and maintaining project-related contracts, work orders, variations and supporting documentation.
- Coordinate information and respond to enquiries from project personnel, contractors, suppliers, clients and other relevant stakeholders.
- Assist in identifying and resolving administrative issues affecting project activities and provide relevant information to management.
- Liaise with project managers, contractors, suppliers, professionals and other stakeholders to ensure project requirements are communicated and followed.
- Monitor contractor documentation and report relevant changes, variations or issues relating to work orders to management.
- Collect, maintain and analyse project information and assist with reporting on project progress and outcomes.
- Maintain accurate records of project costs, payments, documentation, correspondence and other relevant project information.
- Assist senior management with matters requiring attention and implement administrative decisions and instructions.
- Ensure project documentation is maintained accurately, systematically and in accordance with company requirements.
- Perform other project administration and coordination duties relevant to the position.
Skills and Experience
To be successful in this role, you will have:
- A Diploma, Advanced Diploma or Associate Degree in Project Management, Business Administration, Construction Management, or a related discipline; or at least three years of relevant experience in project administration or a closely related field.
- Demonstrated experience in project administration, project coordination or a similar administrative role.
- Experience working with contractors, suppliers and other project stakeholders.
- Strong organisational and time-management skills, with the ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills.
- High attention to detail and the ability to maintain accurate project records and documentation.
- Demonstrated ability to prepare reports, correspondence, submissions and other project documentation.
- Ability to collect, organise and analyse project information and provide accurate reports to management.
- Ability to identify administrative issues, respond to enquiries and assist with practical resolution of project-related matters.
- Proficiency in Microsoft Office applications, including Microsoft Word, Excel and Outlook.
- Ability to work independently while also working effectively with project managers, contractors, suppliers and other stakeholders.
- Knowledge or experience in the construction or steel fixing industry will be highly regarded.
