About the Role
The Visa and People Operations Specialist handles visa, immigration and mobility duties within a tight-knit and high performing People team, who sit centrally to service all brands within the Omnicom Media portfolio. This is a part-time parental leave cover role for a duration of 12months.
You will be working with a small and collaborative team supporting agency brands within Omnicom Media which aims to deliver exceptional employee experience to our people while maintaining the integrity of the HR/People function.
Reporting Structure
This role will report to the Head of People Operations at Omnicom Media.
Location
This role is based in Sydney.
Role Responsibilities
Client advisory and case management
- Assess candidate and employee eligibility for visa.
- Work with people directors on approvals of visa sponsorships and visa initiation
- Primary contact for immigration vendor for any immigration queries
Compliance and Audit
- Audit visa and work rights for employees on Workday
- Keep up to date with changes in visa and immigration laws
- Logging and record keeping of notifications to The Department of Home Affairs for company compliance.
- Provide practical immigration solutions keeping in accordance with legislation and company policy.
Stakeholder management
- Maintain communication with employees and candidates during visa process
- Work closely with the People Ops lead and CPO for visa and immigration budgeting.
- Work closely with payroll to manage lodgement of visas or preparation of employee visa related documentation.
- Build and maintain communication with Immigration Lawyers and team leads and be able to provide feedback on behalf of the business.
Team Collaboration
- Work closely with the People team on people initiatives.
- Contribute to process improvements and the continuous development of the Immigration practice.
Commercial Awareness
- Invoice approvals and billing with finance team.
- Manage claw Financial Agreements and Clawbacks where necessary.
- Forecast immigration budget for necessary forward planning.
Role Requirements
A HR professional with 2-3 experience with a contemporary and flexible approach to HR:
- Understanding of visa and immigration legislations in Australia is beneficial.
- Experience managing multiple clients matters simultaneously while meeting competing deadlines.
- Excellent written and verbal communication skills with strong attention to detail.
- Proven ability to build trusted relationships with clients and stakeholders.
- Strong organizational, analytical, and problem-solving skills.
- Experience using immigration case management systems is advantageous.
