Keep the office moving, the details sharp, and the team supported
We are not just looking for someone who can answer phones and file documents.
We are looking for someone who is organised, switched on, confident with computers, and able to keep things moving in a busy service environment where not every day looks the same.
This role suits someone who notices the small things, follows things through, learns systems quickly, and can stay calm when the day changes direction.
Who We Are?
Enabling Pathways Youth is the child safety division of Enabling Pathways. We provide trauma informed residential care and outreach services to children and young people in the Townsville region.
Our work is centred on creating safe, supportive, consistent and culturally respectful environments where young people can heal, grow and thrive.
Behind that work is a team that needs strong administration, accurate records, clear communication and reliable support. That is where this role comes in.
What This role is really About
As our Administration Assistant, you will help keep the EP Youth office running smoothly.
You will be the first point of contact for the office and will support the team with reception, records, data entry, document preparation, meeting support, routine accounts administration and general office coordination.
You will also support the broader Business Support team with practical day to day requests, which means this role will not always be sitting at a desk. Some days may involve moving between offices, helping with errands, following up tasks, collecting or delivering items, and assisting wherever support is needed.
You will work under the general guidance and supervision of the Business Support Officer, while also being trusted to manage your own tasks, follow processes and use good judgement in your day to day work.
This is a role for someone who likes variety, takes pride in accuracy, and is comfortable working in a fast paced and dynamic environment.
The Person Who Will Thrive Here
You will probably do well in this role if:
- You are highly organised and like keeping things in order.
- You have strong attention to detail and notice when something does not look right.
- You are confident using computers, Microsoft 365 and office systems.
- You are comfortable learning new software, online forms and digital processes.
- You can manage competing priorities without becoming overwhelmed.
- You can work under general guidance and supervision, while still taking initiative.
- You communicate clearly, professionally and respectfully.
- You understand that confidentiality is not optional.
- You can work with a team, but also get on with your own tasks when needed.
- You are steady, reliable and willing to learn.
You do not need to be an IT technician. However, you do need to be IT savvy enough to use systems confidently, troubleshoot small day to day computer issues, follow digital processes, and learn new platforms without needing constant support.
Your Day to Day
In this role, you may be:
- Answering phone calls, emails and in person enquiries.
- Welcoming visitors and supporting the day to day flow of the office.
- Completing accurate data entry across different systems.
- Maintaining electronic and physical records.
- Preparing, formatting and saving documents.
- Supporting meetings with scheduling, room bookings, invitations and minutes.
- Uploading receipts and invoices.
- Assisting with errands, follow ups, small office tasks and other practical support that helps the team keep things moving.
- Assisting with routine accounts administration.
- Maintaining office supplies and processing basic orders.
- Using systems such as Microsoft 365 and Employment Hero.
- Helping the team keep records accurate, organised and audit ready.
- Supporting a safe, respectful and child safe service environment.
Some days will be predictable. Some days will not be. The right person will be able to shift gears, stay organised and keep moving.
What You Bring
We are looking for someone with:
- Previous experience in administration, reception, clerical work or office support.
- Strong computer skills and confidence using Microsoft 365.
- Good written and verbal communication skills.
- Strong organisational skills and the ability to manage competing tasks.
- High attention to detail and accuracy.
- A professional and respectful manner.
- Ability to handle sensitive information with discretion.
- Willingness to learn new systems and follow organisational processes.
- Ability to work in a busy environment, both independently and as part of a team.
- Cultural awareness and respect for people from diverse backgrounds.
A Certificate III or IV in Business Administration, or similar experience, would be highly regarded.
Experience in community services, child safety, not for profit organisations or similar environments would also be helpful, but it is not essential.
Mandatory Requirements
To be considered for this role, you must have:
- Proof of Australian working rights, such as a passport, birth certificate, citizenship certificate or valid visa.
- A valid Queensland Working with Children Blue Card at all times and must not be a Restricted Person.
- A clean National Police Check less than 6 months old.
- Willingness to complete training relevant to the role and the needs of the service.
- Ability to comply with privacy, confidentiality and child safe requirements.
A current Queensland Driver Licence is desirable.
Why Enabling Pathways?
This is a practical administration role, but the work behind it matters.
Your accuracy, organisation and follow through help support a team that works directly with children and young people in care.
We offer
- Competitive salary under the SCHADS Award.
- Salary packaging options, helping you reduce your taxable income.
- Employee Assistance Program access.
- Employment Hero benefits, including discount store access and wellbeing resources.
- A supportive team environment.
- Opportunities to learn across different business and service areas.
- A role where your work contributes to something bigger than office administration.
Think This Sounds Like You?
If you are organised, computer confident, detail focused and ready to be part of a busy team that supports meaningful work, we would like to hear from you.
