POSITION DESCRIPTION
Department: Hire Office
Reports To: Hire Office Manager
Location: Bohle, Queensland
POSITION PURPOSE
The Allocator is responsible for coordinating and managing the day-to-day allocation of plant, equipment and operators for wet hire activities. This position plays a key role in ensuring the right equipment and personnel are allocated to each project, operational requirements are met, and accurate information is captured for billing and reporting purposes.
The Allocator works closely with the Hire Office, Workshop, operators, clients and site personnel to ensure wet hire operations are coordinated efficiently, safely and in accordance with company requirements.
KEY RESPONSIBILITIES
Wet Hire Coordination
- Coordinate and control all aspects of wet hire operations, including the allocation of equipment and operators.
- Ensure suitable equipment and appropriately qualified and experienced operators are allocated to each job.
- Monitor wet hire requirements and make adjustments to allocations as project requirements change.
- Maintain clear communication with operators, clients, the Hire Office and Workshop regarding daily requirements.
- Assist with resolving operational issues relating to equipment, operators and site requirements.
Timekeeping, Documentation & Billing
- Ensure all operator hours, equipment hours, start and finish times and other relevant information are accurately captured.
- Review operator paperwork and timesheets for completeness and accuracy.
- Assist with the collection, checking and processing of operator paperwork and timesheets.
- Ensure required information is available to support accurate and timely customer invoicing.
- Follow up missing or incomplete documentation as required.
Plant Allocation & Availability
- Manage the daily allocation of plant and equipment to wet hire and other operational requirements.
- Update plant availability on a daily basis to ensure accurate and current information is maintained.
- Monitor equipment movements and availability, including machines being mobilised, demobilised, serviced or unavailable.
- Coordinate with the Workshop regarding plant maintenance, repairs and expected availability.
- Complete and maintain accurate machine check-in and check-out records.
Daily Plant Needs Meeting
- Conduct the daily plant needs meeting with the Hire Office and Workshop.
- Review upcoming and current hire requirements.
- Identify equipment movements, maintenance requirements, operator requirements and potential availability issues.
- Communicate agreed actions and ensure relevant requirements are followed up.
Hire Administration Support
- Provide backup support to the Hire Administration team as required.
- Assist with general hire administration, customer enquiries, documentation and record keeping.
- Provide support during periods of high workload, staff leave or other operational requirements.
- Maintain accurate and organised records in accordance with company procedures.
SAFETY & COMPLIANCE
- Promote and maintain a strong safety culture across all wet hire activities.
- Ensure operators and equipment are appropriately allocated based on project and site requirements.
- Report hazards, incidents, equipment issues and operational concerns promptly.
- Ensure company procedures, policies and relevant legislative requirements are followed.
- Support the completion of required documentation and records.

EXPERIENCE & QUALIFICATIONS
Desirable experience includes:
- Previous experience in plant hire, civil construction, earthworks, transport, logistics or a similar operational environment.
- Experience coordinating plant, equipment and/or personnel.
- Knowledge of heavy machinery and construction equipment.
- Experience with timesheets, job costing, billing information or hire administration.
- Previous experience working with workshop or maintenance teams.
- A relevant qualification or industry experience in administration, logistics, operations or plant hire will be highly regarded but not essential.
PERFORMANCE EXPECTATIONS
The Allocator is expected to:
- Ensure plant and operators are allocated efficiently and appropriately.
- Maintain accurate and up-to-date plant availability information.
- Ensure wet hire hours and supporting documentation are captured accurately and on time.
- Maintain effective communication between the Hire Office, Workshop, operators and clients.
- Ensure site inspections and required documentation are completed.
- Support accurate and timely billing processes.
- Contribute to the efficient and safe operation of Markwell Group's wet hire activities.
- Provide reliable administrative support to the Hire Office when required.
Pay: $85,000.00 per year
