About the role
We are seeking a highly organised and proactive Office Manager to join our team at our Surfers Paradise, Queensland location on a full-time basis. In this pivotal role, you will be the backbone of our office operations, ensuring smooth day-to-day functioning and providing essential support to our staff and management. This position is critical to maintaining an efficient, professional and welcoming work environment that enables our team to perform at their best.
Key responsibilities
- Contribute to the development, implementation and review of administrative systems, policies and procedures to improve office efficiency and ensure effective business operations.
- Coordinate and monitor the use of office resources, including staff, office facilities and administrative support services, to meet organisational requirements.
- Assign work to administrative staff, supervise daily activities, monitor performance and provide guidance and support to ensure work objectives are achieved.
- Oversee the maintenance of office records, filing systems, databases and administrative documentation to ensure information is accurate, secure and readily accessible.
- Liaise with management, education providers, clients, government authorities and other external stakeholders to coordinate administrative activities and facilitate effective communication.
- Ensure office facilities, equipment and supplies are maintained, serviced and available to support the smooth operation of the business.
- Monitor compliance with workplace health and safety policies and promote safe work practices throughout the office.
- Ensure administrative operations comply with relevant legislation, regulations, organisational policies and quality assurance requirements applicable to the education consultancy sector.
- Coordinate human resource administration activities, including recruitment support, induction, staff scheduling, training coordination, performance monitoring, payroll administration and maintenance of employee records.
- Monitor office expenditure, assist in preparing budgets, process invoices and maintain financial and administrative records in accordance with organisational procedures.
- Identify opportunities to improve office systems and administrative processes and implement initiatives that enhance operational efficiency, customer service and business performance.
- Prepare administrative reports, operational summaries and correspondence for management to support planning, decision-making and continuous improvement.
- Coordinate with overseas branch offices and authorised education agents to facilitate student recruitment, application processing, document verification, admissions, enrolment activities and ongoing communication, ensuring timely service delivery and compliance with company policies and Australian education sector requirements.
Required Skills, Qualifications and Experience
- Minimum 1–2 years' experience in an Office Manager, Office Administrator or similar administrative role, preferably within an Australian education consultancy, registered training organisation (RTO), college or higher education environment.
- Demonstrated knowledge of office administration practices, student support processes and administrative procedures within the Australian international education sector.
- Excellent organisational and time management skills, with the ability to priorities multiple tasks, meet deadlines and manage competing priorities in a fast-paced environment.
- Strong written and verbal communication skills, with the ability to communicate professionally with students, education providers, government authorities and stakeholders from diverse cultural and linguistic backgrounds.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook and PowerPoint) and confidence using student management systems, customer relationship management (CRM) software and other office administration platforms.
- Experience coordinating appointments, student documentation, admissions processes and maintaining accurate electronic and physical records.
- Sound numeracy skills with experience in financial administration, including invoicing, receipting, reconciliation and maintaining administrative financial records.
- Demonstrated ability to provide exceptional customer service while handling student enquiries, complaints and sensitive matters with professionalism, discretion and empathy.
- Ability to work independently with minimal supervision while collaborating effectively within a multidisciplinary team.
- Strong attention to detail and commitment to maintaining accuracy, confidentiality and compliance in all administrative documentation and student records.
- Highly adaptable and capable of working efficiently in a dynamic environment with changing priorities and deadlines.
- Demonstrated integrity, professionalism and discretion when handling confidential student, employee and business information.
- A proactive, positive and solution-focused attitude, with a willingness to support colleagues and contribute to a collaborative, multicultural workplace.
