About the Role
We are a fast-growing service and maintenance company based on the Gold Coast. As we scale, the Directors need a sharp, highly organized Director’s Assistant to run the backend of our Southport office.
First impressions are everything to us. A massive part of this role is being the welcoming, confident, and social voice of the business. You will be taking that crucial first call from clients, so having a genuinely great phone manner and a personality that loves connecting with people is essential.
You will be the operational right hand to the business owners, ensuring our day-to-day admin, client bookings, and field schedules run smoothly. If you are naturally organised, great with people, and want a role where your impact is noticed every day, this is it.
Key Responsibilities
You will manage the daily administrative engine of the business so the field team can execute seamlessly.
- The Voice of the Business: Handle incoming client phone calls and emails with an energetic, professional manner—ensuring a seamless, premium customer experience from the very first hello.
- Operations & Scheduling: Act as the master scheduler. You’ll oversee daily dispatching, job bookings, and workflow tracking inside our modern management software.
- Team Coordination: Keep our field maintenance staff moving efficiently by managing their logistics, schedules, and daily updates.
- Director Support: Protect the Directors' time by assisting with email management, drafting documentation, and handling key administrative tasks.

What you need to bring:
- Excellent Communication & People Skills: A great phone manner is a non-negotiable. You are social, clear, and confident when speaking with clients and field staff alike.
- Tech-Comfortable: You don’t need to be an IT expert, but you shouldn't be afraid of technology. Our systems are modern but incredibly user-friendly—if you can fill out digital fields and drag-and-drop, we can easily teach you the rest.
- Hyper-Organized: You have strong attention to detail and hate letting things slip through the cracks.
- Proactive Mindset: You don’t wait to be micromanaged. You look at a task, figure out the most efficient way to get it done, and execute.
