Due to continued business growth, we are seeking a detail-oriented and experienced Contract Administrator to manage contract documentation, procurement processes, and project administration across our residential, commercial, and industrial construction projects.
Role Overview:
The Contract Administrator is responsible for overseeing the preparation, review, execution, and administration of contracts throughout the project lifecycle. Working closely with project managers, engineering teams, suppliers, and clients, this role ensures that contractual obligations are met, risks are managed, and projects are delivered on time and within budget.
This role focuses on contract management, procurement coordination, cost control, and project administration to support efficient project delivery and protect the company's commercial interests.
Key Responsibilities:
· Prepare, review, and administer contracts for construction projects, including head contracts, subcontracts, supplier agreements, and variations.
· Manage the full contract lifecycle from tender preparation and evaluation through to contract execution, administration, and close-out.
· Assess and process variation claims, extension of time requests, and progress claims in accordance with contract terms and conditions.
· Identify and manage contractual risks, ensuring compliance with legal requirements, Australian Standards, and company policies.
· Liaise with clients, subcontractors, suppliers, and internal teams to resolve contract-related queries and disputes in a timely and professional manner.
· Monitor contract budgets, cost forecasts, and expenditure reports to support accurate project cost control and financial reporting.
· Maintain comprehensive contract registers, correspondence records, and document control systems throughout project lifecycles.
· Coordinate procurement activities including preparation of tender documents, evaluation of quotations, and negotiation of supply and subcontract agreements.
· Review and assess subcontractor and supplier invoices, ensuring alignment with contractual terms, schedules of rates, and project scope.
· Support project managers and site teams by providing contractual advice, guidance, and documentation as required.
· Prepare monthly cost reports, cash flow forecasts, and contract status summaries for management review.
· Participate in project meetings, site visits, and stakeholder consultations to maintain awareness of project progress and contract obligations.
· Assist in the preparation and submission of claims, including the collation of supporting documentation, correspondence, and evidence.
· Contribute to the continuous improvement of contract management procedures, templates, and administrative systems.
· Ensure all work is performed in accordance with workplace health and safety requirements, company procedures, and applicable industry regulations.
Requirements – Skills & Competencies
Essential
· Minimum 1 year of work experience as contract administrator within the construction industry.
· Relevant qualification in Construction Management or Business.
· Demonstrated experience in preparing, reviewing, and administering construction contracts.
· Sound understanding of construction procurement processes, contract law principles, and risk management.
· Proficiency in project management and cost control software.
· Strong ability to read and interpret construction drawings, specifications, and project documentation.
· Excellent written and verbal communication skills with the ability to draft clear and professional contract correspondence.
· High level of attention to detail and accuracy in financial and contractual documentation.
· Strong organisational, time management, and problem-solving skills.
· Ability to work effectively within a multidisciplinary team environment.
Desirable
· Experience in light gauge steel framing, prefabricated building systems, or related manufacturing sectors.
· Development or Design skills are highly regarded.
· Experience using construction management platforms such as Procore, Aconex, or equivalent.
· Knowledge of BIM workflows and their application in contract documentation.
· Mandarin language skills (advantageous).
· Experience across both residential and commercial construction project types.
Pay: $80,000.00 – $90,000.00 per year
