We are a fast-growing migration and legal firm looking for a highly organised and proactive Reception & Sales Head to oversee reception operations, inquiry management, and consultation bookings across our Australian and overseas teams.
This is NOT a standard receptionist role.
You will be responsible for:
- Managing inbound inquiries and ensuring no lead is missed
- Supervising overseas reception teams
- Monitoring call quality and sales performance
- Following up missed calls and WhatsApp inquiries
- Ensuring fast response times for all new inquiries
- Monitoring KPIs and preparing daily reports
- Assisting with consultation bookings and sales conversions
- Escalating urgent client or operational issues
- Supporting the management team with workflow oversight
Key Responsibilities:
- Ensure all new inquiries are responded to within 1 hour
- Monitor Dialpad, WhatsApp, email, and online inquiries
- Coordinate reception operations across multiple teams
- Track daily numbers including:
- New inquiries
- Existing client inquiries
- Consultations booked
- Contracts sent
- Conversion rates
- Review staff performance and call handling quality
- Assist in improving booking and conversion rates
- Handle difficult or urgent inquiries professionally
- Take ownership when reception staff are unavailable
Ideal Candidate:
- Strong communication and leadership skills
- Fluency in Dari and Farsi is desirable
- Experience in reception, sales, or client service roles
- Confident handling calls and client interactions
- Highly organised and KPI-driven
- Ability to multitask in a fast-paced environment
- Experience using CRM systems, Dialpad, or ClickUp preferred
- Migration or legal industry experience highly regarded
