We are currently seeking an experienced and highly organised Project Administrator to join our growing team.
This is a dynamic role suited to a proactive professional who thrives in a fast-paced environment and has strong coordination, administration, and stakeholder management skills.
About the Role
As the Project Administrator, you will play a critical role in supporting the successful delivery of medical device projects, clinical demonstration programs, and product training initiatives. You will work closely with internal teams, healthcare providers, suppliers, and distributors to ensure projects are delivered efficiently, compliantly, and to a high professional standard.
Key Responsibilities
- Coordinate and administer project timelines, schedules, and deliverables
- Liaise with hospitals, clinics, healthcare professionals, suppliers, and internal stakeholders
- Monitor project milestones and proactively identify and escalate issues
- Maintain accurate project documentation, compliance records, and reporting systems
- Manage purchase orders, invoices, inventory tracking, and stock reconciliation
- Coordinate logistics for clinical demonstrations, training sessions, and product deliveries
- Ensure compliance with TGA regulations and workplace health & safety requirements
- Prepare project reports, financial summaries, and stakeholder updates
- Manage databases, filing systems, and administrative processes with high attention to detail
- Serve as a key point of contact for project-related communications
About You
To be successful in this role, you will demonstrate:
- 2+ years’ experience in project administration, program coordination, or operations support
- Strong organisational and time management skills
- Excellent communication and stakeholder engagement abilities
- High attention to detail and ability to manage multiple priorities
- Experience working within healthcare, medical devices, pharmaceuticals, or regulated industries will be highly regarded
- Proficiency in Microsoft Office and administrative systems
- Ability to work independently and collaboratively within a team environment
