Primary objective
Provide comprehensive, confidential, administrative support to the Executive Director Children and Families Programs and
associated work units, including administrative coordination and Ministerial Liaison support.
Key duties and responsibilities
1. Provide comprehensive high level administrative and executive support in line with appropriate NTG policies including
but not limited to:
- Secretarial services such as agenda preparation, minute taking and logistics for meetings, cross-agency committees,
and events, across both departments and their stakeholders.
- Monitoring and managing communications, diary scheduling, meetings, and travel for the Executive.
- Maintaining administrative systems, registers, and records to ensure efficient office operations.
- Managing procurement activities including travel, purchasing, and credit card transactions.
- Supporting working groups and events involving the Executive or business unit.
2. Liaise professionally and confidentially with internal staff across both Departments, the Minister’s office, other
government agencies, external stakeholders, and members of the public.
Selection criteria
Essential
1. Demonstrated experience providing high-level administrative support to a senior leader or executive, including diary
management, meeting coordination, handling correspondence and maintenance of confidential files and records.
2. Coordinate and actively manage the Executive Director’s workflow, including tracking tasks, monitoring due dates, and
ensuring priorities are progressed within agreed timeframes.
3. Proficiency in the Microsoft Office suite (Word, Excel, Outlook, Teams, and PowerPoint) and electronic record
management systems with a demonstrated ability and willingness to adapt to new technologies and digital tools.
4. Well-developed professional, interpersonal, and influencing skills, with the ability to communicate effectively (both
written and verbally) with diverse stakeholders and to build and maintain positive working relationships across all levels
of both Departments.
5. Proven ability to work effectively in a fast-paced environment with strong organisational and time management skills
demonstrating flexibility to manage changing and competing priorities and work independently with minimal supervision.
6. Attention to detail with sound judgement, including the ability to delegate and escalate issues appropriately, identify
process improvements, and develop practical and creative solutions to administrative challenges.
7. Strong work ethic and attitude in line with NTG values: commitment to service, ethical practice, respect, accountability,
impartiality, and diversity.
