Primary objective
Provide Corporate support to the Oral health Service including on boarding new staff, managing IT assets, maintaining
mandatory training records, supporting other administration functions such as procurement, and recruitment.
Key duties and responsibilities
1. Provide recruitment support for Oral Health Managers and Director of Oral Health including JES process, liaising with
Human Resources (HR) and payroll regarding contracts and commencement paperwork.
2. Coordinate the orientation and induction program for new departmental and contractual staff including organising
relevant training and access to the client information database.
3. Undertake procurement, code tax invoices and complete purchase order requests as required.
4. Maintain position occupancy reports and profiles to monitor staffing levels and extract HR reports to review when
required.
5. Support Quality and Safety activities and provide support on data reporting as required for ongoing quality improvement
process.
6. Coordinate, delegate and maintain the IT assets and ICT register for Oral Health Services and troubleshoot IT issues that
may arise.
7. Liaise with Facilities about building issues and coordinate building maintenance and repairs.
8. Develop and maintain accurate electronic records and files.
9. Coordinate the Fleet Vehicle Management.
10. Support for therapist credentialing and coordinate the Oral Health immunisation register.
Selection criteria
Essential
1. Demonstrated high level knowledge and experience in administrative functions and procedures including recruitment.
2. Demonstrated high-level competency in the use of computer systems including email, Microsoft office suite and
databases.
3. Established experience in employee on-boarding, troubleshooting IT issues, IT assets management, electronic records
management and mentoring.
4. Well experienced in credentialing processes, and procurement processes.
5. Well-developed organisation skills with proven ability to organise, prioritise and complete workload to meet deadlines.
6. High degree of professional integrity and discretion with an ability to handle the confidential and sensitive subject
matters.
7. Well-developed oral and written communication skills with a pleasant manner.
8. Demonstrated ability to work within a flexible team and achieve a demanding team workload.
Desirable
1. Knowledge of Public Dental Service including their role and function.
2. Demonstrated competency in the use of NTGPay, eRecruit, PIPS, and HPECM.
