We are seeking an experienced and motivated Office Manager who will play a key role in overseeing the administrative operations of an international student services business,
ensuring efficient support for students, education providers and internal stakeholders.
The Office Manager will report to the CEO and will be responsible for:
· Plan, coordinate and continuously improve office operations, establishing service standards and implementing efficient administrative procedures.
· Manage the allocation and effective use of office resources, including staffing, office space, equipment and operational budgets.
· Lead, supervise and support administrative staff by allocating workloads, monitoring performance and fostering a productive team environment.
· Oversee office records, administrative budgeting and financial record administration to ensure accuracy, confidentiality and compliance.
· Liaise with management, professional staff, clients and external stakeholders to coordinate business activities and resolve operational issues effectively.
· Ensure office facilities, equipment, technology and supplies are maintained and readily available to support business operations.
· Develop, review and implement administrative systems, policies and procedures
· Ensure all office operations comply with applicable government legislation, company policies and regulatory requirements.
· Coordinate human resource administration, including recruitment, onboarding, staff training, performance management, leave administration and payroll coordination.
· Coordinate administrative systems to ensure efficient office operations.
· Prepare and monitor administrative budgets and expenditure.
This is a permanent full-time position requiring 38 hours per week, generally worked between 10.00am and 6.00pm, Monday to Friday.
Successful applicants must have:
· Diploma or bachelor’s degree in business administration, Management or a related discipline, or an equivalent combination of relevant qualifications and professional experience.
· A minimum of three years demonstrated experience in an Office Manager, Administration Manager or similar senior administrative role.
· Proven ability to lead and supervise administrative functions while effectively managing competing priorities in a dynamic business environment.
· Excellent organisational, time management, interpersonal and communication skills, with the ability to build positive relationships across all levels of the business.
· Strong proficiency in Microsoft Office Suite and experience using office management, document management and business administration software.
· Sound knowledge of office administration practices, record management, budgeting and operational procedures.
· High level of professionalism, initiative, problem-solving ability and attention to detail.
· Excellent written and spoken English communication skills.
· Fluency in Portuguese is essential, as the position requires regular communication with a significant portfolio of Portuguese-speaking clients, education providers and business partners. The ability to communicate accurately and effectively in Portuguese is necessary to perform the inherent requirements of the role.
