The Opportunity:
This is a 12-month fixed term contract opportunity.
Reporting to the Administration Manager, we are seeking a detail-oriented Administration Officer to join our team. This role is responsible for providing administrative support across invoicing, payroll processing, contractor management and customer service functions while ensuring accuracy of records and timely completion of operational administration tasks.
You will work closely with operational teams, customers and subcontractors to ensure data integrity, efficient processing and outstanding service delivery.
You will:
Process daily operational work, ensuring all information is accurately entered into company systems
Process timesheets and support payroll administration activities
Prepare, process and distribute customer invoices in a timely manner
Upload and maintain proof of delivery documentation
Process supplier and subcontractor invoices and assist with weekly payment runs
Liaise with customers regarding invoicing queries and account matters
Create and maintain storage invoices and associated reporting
Monitor and reconcile operational spreadsheets, identifying and correcting discrepancies
Raise purchase orders and maintain purchasing records
Prepare data and reports for month-end reporting requirements
Provide general administrative support to the wider team as required
What you’ll bring:
Previous experience in an administration, accounts or operational support role
Strong data entry skills with a high level of accuracy and attention to detail
Experience processing invoices, payroll or accounts administration tasks
Competent using Microsoft Outlook and basic Microsoft Excel
A willingness to learn new systems and processes, including F2020 and Depot Pro
Ability to manage competing priorities and meet deadlines
Strong communication and customer service skills
A proactive attitude with a willingness to learn and support the wider team
Ability to work effectively both independently and within a team environment
