Are you a systems-savvy administrator who enjoys working with data, supporting people and keeping operational processes running smoothly? Mackay Regional Council is looking for a motivated Fleet Support Officer to join our Mobile Assets team on a permanent full-time basis, based at the Paget Depot.
In this role, you will work closely with the Fleet Coordinator, fleet staff and teams across Council to provide the administrative, systems, reporting and data support that helps keep Council’s fleet services operating efficiently. From supporting the Vehicle Booking System and fuel card administration to maintaining accurate fleet data, preparing reports, raising purchase orders and using tools such as Excel, Power Automate and Power BI, this is a varied role where your attention to detail and problem-solving skills will make a practical difference every day.
Key responsibilities
- Provide day-to-day administrative, operational, reporting and systems support to the Fleet Coordinator, Mobile Assets team, fleet staff and internal Council users.
- Support and maintain internal fleet systems, including the Vehicle Booking System and Electronic Prestart Application, and assist staff to use these systems confidently.
- Maintain accurate fleet asset registers, databases, spreadsheets, reporting dashboards and intranet information to support reliable records and informed decision-making.
- Liaise with internal stakeholders, suppliers and Council teams to raise purchase orders, process invoices, complete reconciliations and prepare fleet-related correspondence and reports.
- Administer fuel cards, including ordering, allocation, record keeping and routine or ad hoc fuel usage reporting.
- Use advanced Excel skills, data analytics, Power BI and Power Automate to improve reporting, streamline workflows and support continuous improvement across fleet administration processes.
- Assist with commissioning and decommissioning vehicles, plant and equipment in collaboration with the Fleet Coordinator, operational teams and relevant stakeholders.
- Support small plant replacement activities, tenders, quotations and broader fleet replacement processes by coordinating information and communicating with team members and suppliers.
- Apply Council policies, procedures and work practices to resolve customer requests, share information and contribute to a responsive and collaborative fleet support service.
About you
This role would suit someone who enjoys variety, takes pride in accurate work and likes being the person others can rely on for practical support. You will be comfortable working in a busy operational environment, building positive relationships across teams and balancing competing priorities with a calm, organised approach.
You will bring demonstrated administrative experience in a customer service or operational support environment, along with confidence using business systems, databases and spreadsheets. Strong Excel capability, confidence working across multiple spreadsheets, data analytics and reporting experience will be highly regarded, as will exposure to Power BI, Power Automate, purchase orders, reconciliations and invoice processing. Most importantly, you will be a clear communicator who enjoys working with others to solve problems, improve processes and deliver timely support.
Essential requirements
- Current Queensland “C” Class Driver Licence or interstate equivalent.
- Demonstrated administrative experience in a customer service or operational support environment.
- Experience supporting business systems, databases or applications in an operational, asset or service-based environment.
- Sound communication, collaboration, organisational and time management skills.
