Primary objective
Provides confidential executive and business support to the Nursing Director Operations and Nursing Leadership Team within the Division
of Emergency Medicine, with additional administrative and workforce support for the Patient Care Assistant workforce.

The Division of Emergency Medicine delivers 24/7 emergency care at Royal Darwin and Palmerston Hospitals, supported by a
multidisciplinary team committed to high-quality patient care.
Key duties and responsibilities
1. Provide high-level executive and administrative support to the Nursing Director Operations and Nurse Unit Managers, including
calendar management, document preparation, and meeting coordination and secretariat functions.
2. Provide high-level administrative support for the recruitment, education and training of PCA staff within the Division, including
monitoring essential training requirements and maintaining accurate workforce records and data within relevant databases.
3. Support the development and implementation of workforce management processes, including cyclic roster creation, maintaining
attendance, allowances, and data integrity across systems and databases.
4. Develop and maintain effective working relationships with internal and external stakeholders.
5. Process financial transactions through government systems, and provide document preparation, records management, and general
office support.
6. Provide assistance to other divisional Business Support Officers and senior Nursing team as required.
7. Follow defined service quality standards, work health and safety policies and procedures relating to the work being undertaken to
ensure high quality, safe services and workplaces.
Selection criteria
Essential
1. Demonstrated ability to provide executive administrative support in an efficient, highly confidential and mature manner within
designated timeframes and delegations.
2. Proven experience in providing secretariat support to committees including the distribution of papers and minute taking.
3. Demonstrated written and verbal skills with an ability to communicate effectively with people of diverse cultures and health
professionals in a respective and sensitive manner.
4. Extensive knowledge in computing systems including word processing, spreadsheets, email, records management, database and major
business systems and the ability to use or learn computerised hospital and workforce systems.
5. Proven ability to develop, maintain and provide advice on procedures for administrative processes such as procurement, credit card
management travel and records management.
6. Ability to work independently and unsupervised with proven ability to maintain standards during periods of high workload activity,
particularly accuracy and attention to detail.
7. Demonstrated skills in engaging and negotiating with a range of stakeholders to achieve mutually acceptable solutions where
competing priorities exist.
8. Demonstrated knowledge of workforce and fatigue management policies and experience in developing and maintaining 24/7 rosters.
