We're looking for a proactive, organised and compassionate Medical Secretary to join our growing team.
This position is 2-4 days per week on a casual basis, with the opportunity to transition to a permanent part-time role for the right person. We are flexible with days and hours and are happy to discuss an arrangement that suits both the successful applicant and our clinic.
About the Role
As the first point of contact for many of our families, you'll play an important role in creating a positive experience from the moment they contact our clinic.
Your responsibilities will include:
- Welcoming patients and families with warmth and professionalism
- Answering a busy phone line and responding to email enquiries
- Managing appointments across multiple clinicians
- Processing referrals and medical correspondence
- Preparing and sending reports and letters
- Managing patient records while maintaining confidentiality
- Processing payments, Medicare claims and invoicing
- Liaising with GPs, specialists, schools and allied health professionals
- Supporting clinicians with day-to-day administrative tasks
- Helping ensure the smooth operation of our busy specialist practice
About You
The ideal candidate will have:
- Previous experience as a Medical Secretary or Medical Receptionist (specialist practice preferred) highly regarded
- Confident using technology and quick to learn new systems
- Exceptional customer service and communication skills
- Excellent written communication and attention to detail
- Strong organisational skills with the ability to multitask
- A calm, positive and professional approach in a busy environment
- The ability to work both independently and collaboratively
- A genuine passion for helping children and families
Desirable
- Experience in paediatrics or specialist medical practice
- Medicare billing knowledge
- Experience with medical practice software (Genie/Gentu or similar)
- Confidence using Microsoft Office and cloud-based systems
