About the role
We are seeking a compassionate and organised administrative officer to join our team at MANAS Health in Baulkham Hills. In this client-facing role, you will be the first point of contact for our practice, managing appointments, client enquiries, referrals, Medicare and billing processes, and providing essential administrative support to ensure the smooth day-to-day operation of our clinic.
We offer full-time, part-time, or casual opportunities, with potential for extension or a permanent position for the right candidate. This role is ideal for someone who is professional, detail-oriented, and passionate about supporting people on their mental health journey. Experience in a psychology or mental health practice and psychology studies will be highly regarded.
The primary responsibilities of the role include:
· Welcome and support clients with professionalism, warmth, and compassion, both in person and over the phone.
· Manage appointments, client intake, waitlists, and clinician schedules.
· Handle enquiries via phone, email, and face-to-face communication.
· Process Medicare, private billing, payments, and daily reconciliations accurately.
· Maintain accurate client records, databases, and electronic documentation.
· Coordinate referrals, correspondence, and communication with clients, GPs, and other stakeholders.
· Complete general administrative tasks, including invoicing, filing, data entry, and office coordination.
· Assist with opening and closing the clinic and ensuring a welcoming practice environment.
· Support the clinical team with day-to-day administrative and operational requirements.
Essential Criteria
· Previous experience in administration, reception, or customer service, preferably within a healthcare or private practice environment.
· Strong organisational skills with exceptional attention to detail and accurate data entry.
· Ability to work independently, manage competing priorities, and thrive in a fast-paced environment.
· Experience with invoicing, payment processing, and reconciliations.
· Excellent communication and interpersonal skills, with a warm, professional, and empathetic approach.
· Strong computer literacy, including Microsoft Office; experience with practice management software is highly regarded.
· Reliable, punctual, proactive, and committed to maintaining confidentiality.
· Willingness to learn new systems and processes.
· Working With Children Check and Police clearing Check (or willingness to obtain).
Desirable:
· Experience with Medicare and private billing processes.
· Certificate III or higher in Business Administration (or similar).
· Experience using Halaxy or other healthcare practice management software.
· Psychology studies or experience within a psychology, mental health, or medical practice.
Hours & Availability
· Full-time preferred (up to 40 hours per week), with part-time arrangements considered for the right candidate based on availability.
· Applicants must be available to work rostered shifts, including evenings up to 7:30pm.
Practice Operating Hours
· Monday, Wednesday & Thursday: 8:30am – 7:30pm
· Tuesday & Friday: 8:30am – 5:00pm
· Saturday & Sunday: Closed
