Campbell Property Group (CPG), one of Australia’s leading residential construction and property development companies, is looking for an Administration Officer.
What you will do?
The Administration Officer plays a key role in supporting the smooth progression of pre-construction milestones through efficient scheduling, coordination, and documentation. This role is responsible for client appointment scheduling, creating and compiling HIA residential building contracts, and ensuring accurate communication between internal departments. The role involves high attention to detail, strong organisational skills, and effective communication to support internal teams and deliver a seamless client experience.
On a daily basis, your duties will include:

Coordinate and schedule tender and contract appointments with clients and internal presenters
- Confirm client availability and send out appointment reminders and pre-appointment documentation
- Answer inbound customer calls professionally, providing updates and redirecting inquiries as needed
- Reschedule appointments when required and maintain clear, updated records in relevant systems
- Accurately compile HIA Residential Building Contracts in line with company and legal standards
- Coordinate with internal teams to gather all required documents prior to final contract compilation (plans, PCVs, reports, etc.)
- Ensure contracts are error-free, complete, and delivered within agreed timeframes
- Assist in the preparation and dispatch of physical or digital contract packs to clients
- Liaise with Estimating, Drafting, Tender, and Contract teams to ensure timely receipt of documentation
- Escalate missing or overdue information that may impact contract timelines
- Track the flow of documents using internal systems and maintain status updates in relevant workflows
- Act as a point of contact for internal queries relating to scheduling or documentation
- Maintain accurate digital and physical records using company naming conventions and filing procedures
- Prepare supporting materials for appointments and meetings as required
- Support the wider admin or customer service team with general administrative tasks during peak periods
- Contribute to the continuous improvement of administrative processes and tools
About you?
You will ideally be We are looking for someone with:

Experience in an administrative support or contract coordination role, ideally within residential construction
- Experience preparing and reviewing high-volume documentation or client-facing materials
- Familiarity with appointment scheduling, customer liaison, and internal coordination
- Understanding of HIA Residential Building Contracts (preferred)
- Proficient in Microsoft Office Suite (Outlook, Word, Excel)
- Experience with CRM or workflow platforms (e.g., ClickHome, Data Central) is desirable
- Awareness of residential construction processes
- Detail-focused and accurate, with a strong ability to spot errors and follow through on tasks
- Organised and dependable, managing competing deadlines calmly and effectively
- Professional and courteous, building strong working relationships with clients and colleagues.
- Team-oriented, with a willingness to assist others and contribute to shared outcomes
- Proactive and solution-focused, able to manage tasks independently and identify improvements.
