We are currently looking for a full-time Senior Administrator to join our team.
About the Organisation
The Northern Sydney PHN, operated by the Sydney North Health Network, is one of 31 Primary Health Networks (PHNs) established by the Australian Government to increase the efficiency and effectiveness of medical services for the community. Our focus is on patients who are at risk of poor health outcomes and we work to improve the coordination of their care, so they receive the right care, in the right place at the right time.
Key Responsibilities for this role are:
Office & Administration Management
- Manage front desk operations, phone enquiries, shared inboxes, and visitor support.
- Coordinate meeting room bookings and office resource allocation.
- Maintain office facilities, kitchen areas, supplies and equipment to a high standard.
- Manage stationery, office inventory and supplier relationships.
- Coordinate mail, courier services, parking arrangements and visitor management.
- Liaise with building management and external service providers regarding maintenance and office operations.
- Administrative support of the SNHN Clinical Council, under the direction of the Clinical Engagement Manager and the Clinical Council membership.
- Administrative support as required to the Clinical Engagement team including SNHN membership administration and Education/events administration.
- Administrative support as required to the wider primary care business unit
Events & Meeting Support
- Coordinate internal and external meetings, workshops, and events.
- Arrange catering, room setup and post-event administration.
- Provide administrative support to meetings and minutes of meetings as required
- Coordinate registrations, attendee records and event communications.
Work Health and Safety
- Support workplace inspections, incident reporting and hazard management.
- Coordinate WHS meetings and maintain WHS documentation.
- Manage first aid and emergency equipment inventories.
- Assist with WHS inductions for new employees.
The ideal candidate will have the following:
Essential:
- Tertiary Certificate or equivalent work experience.
- Proven experience as senior administrator role with a customer focused function, managed a professional front desk, detailed knowledge of administration function
- Have a passion for people and dedication to providing the highest standards of hospitality and customer service
- The ability to prioritise tasks and have strong time management skills
- Ability to personalise your interactions with your guests – however always remaining professional and focused on the highest standards of personal conduct
- Flexibility and adaptability, exceptional standards of presentation and grooming, exercises initiative and self-reliant
- Excellent communication skills, time management and problem-solving skills
- High level of skill in supporting meetings including Minute-taking, events and related tasks and in your interactions with the organiser and the ability to pre-empt client & organisers needs
- High attention to detail in your approach and have a proven history in providing a warm and embracing customer service within an environment that requires adherence to policies and WHS requirements
- Experience in office systems including information business processes
- Microsoft Outlook, Word, Excel and PowerPoint skills – advanced level.
Desirable:
- Office management related training
- First Aid Check
- Relevant qualifications in customer service
Special conditions
- You will require some flexibility in your work schedule to meet business needs which may require out of hours work.
- Successful candidates will be required to consent to a National Criminal Record, Reference and potentially Working with Children Checks if a requirement of the role.
