Our client, Pristine P&P Pty Ltd, trading as Pristine P&P, is a leading provider of commercial cleaning, facility management, and multi-site operational services across Sydney and New South Wales. Pristine P&P are now seeking a full-time Project Administrator to join their head office team in Haymarket, Sydney. Reporting to the operations and management team, the role assists with contract variations, operational scheduling, project paperwork, and multi-site coordination, ensuring every project is delivered on time, within budget, and to standard. It calls for strong organisation, attention to detail, and confident communication with clients, site teams, and internal stakeholders alike.
This is a full-time position offering a competitive salary within the range of $75,000 to $85,000 AUD per annum, plus superannuation, for the right candidate.
SCOPE OF THE ROLE:
- Collaborating with Project Managers, operations leads, and site supervisors to ensure smooth project delivery, safety compliance, and adherence to internal service frameworks across commercial sites.
- Assisting in the collection, analysis, and reporting of project performance metrics, operational data, and client feedback to track project outcomes and service levels.
- Supporting the preparation, review, and administration of service proposals, contract variations, onboarding documents, and project documentation.
- Responding to client inquiries concerning active contracts, programs, and multi-site services, resolving operational escalations and service issues in a timely manner.
- Coordinating schedules, staffing requirements, and daily administrative paperwork associated with commercial cleaning and facility management projects.
- Liaising with suppliers, subcontractors, and site teams to define project scopes, monitor variations to work orders, and oversee contractor work standards.
- Assisting senior management by monitoring project progress, identifying potential delays or budget risks, and implementing agreed operational decisions.
- Tracking financial and contractual components, including service contract values, scope changes, completed works, and operational expenses to ensure budget alignment.
- Utilising digital platforms and modern management tools to streamline project data collection, resource allocation, and automated reporting of project outcomes.
- Reviewing and arranging administrative support, office accommodation requirements, and logistical arrangements for site teams and project staff as needed.
- Preparing and distributing key documentation, project progress reports, and updates to internal staff, clients, and key stakeholders.
CANDIDATE REQUIREMENTS:
- Preferably hold a relevant Diploma, Bachelor’s, or Master’s degree in Business Administration, Information Technology, Project Management, or a related field.
- Have at least 2 to 3 years of relevant professional work experience in project administration, contract coordination, or operational support within commercial or service-based sectors.
- Demonstrated proficiency with digital project management tools, mobile application tools, ERP software, and MS Office for data entry, analysis, and reporting.
- Strong understanding of contract variations, service level agreements (SLAs), and administrative compliance in multi-site commercial environments.
- Exceptional organisational, analytical, and problem-solving skills with meticulous attention to detail.
- Excellent written and verbal communication skills for effective stakeholder engagement with clients, subcontractors, and executive management.
- Proven ability to manage multiple project priorities simultaneously under tight deadlines.
- Willingness to work on-site at the head office in Haymarket, Sydney, NSW.
- Must hold valid Australian work rights at the time of application.
