We are looking for a motivated and organised Compliance Coordinator to help strengthen our quality, compliance, safeguarding, staff compliance and continuous improvement systems.
This role is suitable for someone who is developing their experience in NDIS compliance and is willing to learn, follow systems, stay organised and take ownership of tasks under the direction of the Director.
Position Purpose
The Compliance Coordinator is responsible for supporting NDMHS with quality, compliance, safeguarding, incident management, complaints, risk management, staff compliance records, training records, HR documentation, audit preparation and continuous improvement.
The role will also support safe business growth by assisting with referral suitability checks, quality-based service information, and reviewing marketing material for compliance and privacy risks.
Key ResponsibilitiesCompliance and Quality
- Maintain compliance registers, checklists and evidence folders.
- Assist with internal audits of participant files, staff files and service records.
- Support preparation for NDIS audits and compliance reviews.
- Maintain the Continuous Improvement Plan and follow up actions.
- Assist with updating policies, procedures, forms and templates.
- Make sure approved documents are saved and used correctly.
- Report compliance gaps to the Director.
Incidents, Complaints and Safeguarding
- Maintain the incident register and complaint register.
- Review incident and complaint forms for completeness.
- Follow up missing information from staff where required.
- Escalate serious incidents, safeguarding concerns and complaints to the Director.
- Track corrective actions after incidents and complaints.
- Identify repeated issues or trends and add them to the Continuous Improvement Plan.
Risk Management
- Maintain participant, staff and business risk registers.
- Assist with risk assessments and risk review reminders.
- Follow up risk-related actions with the responsible staff member.
- Escalate high-risk matters to the Director.
Staff Compliance and Training
- Maintain staff compliance records.
- Track NDIS Worker Screening, police checks, WWCC where relevant, right-to-work checks, licences, insurance and qualifications.
- Maintain the staff training matrix.
- Track mandatory training and participant-specific training.
- Follow up expired or missing staff documents.
- Assist with staff onboarding compliance checks.
HR and Performance Documentation Support
- Assist with preparing probation review reminders, supervision records, performance notes, warning letters and performance improvement plans as directed.
- Keep staff compliance and HR documents confidential and well organised.
- Support the Director with documentation for staff performance matters.
- Ensure HR-related records are saved correctly.
Business Development and Quality Reputation Support
- Assist with preparing provider capability statements and service information.
- Review flyers, brochures and social media wording for privacy, accuracy and compliance risks.
- Support referral suitability checks by identifying compliance, training or risk concerns.
- Help prepare information packs for support coordinators, families and referral sources.
- Support NDMHS to grow safely and ethically.
Selection CriteriaEssential
- Good understanding of the NDIS or willingness to learn quickly.
- Strong attention to detail.
- Good written and verbal communication skills.
- Ability to maintain registers, records and checklists.
- Strong organisational and follow-up skills.
- Ability to handle confidential information professionally.
- Comfortable using computers, Microsoft Office, emails and online systems.
- Ability to work under direction and follow procedures.
- Ability to escalate serious matters quickly and appropriately.
- Current NDIS Worker Screening Check or willingness to obtain.
- Current police check or willingness to obtain.
- Right to work in Australia.
Desirable
- Experience in NDIS, disability, mental health, aged care or community services.
- Experience with quality, compliance, incident management, complaints or audits.
- Knowledge of NDIS Practice Standards and NDIS Code of Conduct.
- Experience using ShiftCare or similar care management software.
- Experience maintaining staff files, training records or compliance registers.
- Certificate, diploma or other relevant qualification in community services, disability, mental health, business administration, quality/compliance or similar.

Reporting Line
This role reports directly to the Director.
