We are a medical practice led by our experienced and professional Surgeon. Our primary focus is delivering unparalleled patient service, particularly providing a seamless healthcare journey for our patients in need. We go above and beyond for our patients. Our Practice is currently expanding our team and is looking for an enthusiastic individual to play a major role in our practice's success.
You will be working closely with our administration team, including our Practice Manager, Medical Secretary and Practice Nurse. You will work closely with our allied health team. There will be some occasional travel to our other site at Cabrini Malvern and Box Hill to assist with consulting.
Parking will be included at Epworth Richmond, and street parking for the half day ad hoc consulting days at Box Hill and Malvern.
About You:
Coming from a Medical Secretarial background (Orthopaedic viewed highly), you will bring your extensive experience in theatre booking, billing, quoting tasks to our boutique practice. Along with providing reception relief for our Medical Secretary. This position would suit someone who is experienced, a true gatekeeper, self-motivated, customer service-oriented and who prides themselves on their attention to detail, work ethic and who is eager to contribute to our paperless practice with their driven and customer-oriented personality. This role will be relieving the practice manager as she is on parental leave, you will be provided full training for her role, before she goes on leave.
Your role will be pivotal to the practice and integral to maintaining our efficient systems and processes, ensuring optimal practice performance and exceptional patient care (this cannot be overstated). You will be required to step up to the duties of a Practice Co-ordinator whilst our Practice Manager is on parental leave.
Key Qualifications and Attributes:
- Demonstrated experience using Genie or similar medical software programs.
- Outstanding communication skills coupled with a positive, proactive attitude.
- Providing an excellent customer service experience for our patients.
- Previous experience in a Medical Practice is mandatory (Surgical viewed highly).
- Professional demeanour with exceptional customer service and attention to detail.
- Ability to work both independently and collaboratively, demonstrating strong leadership qualities.
- Experience with Theatre Booking, Quoting and Billing, including AMA rates, Gap and Known Gap fees
- Extensive experience in batching and financial reconciliations including end of day, week and month reporting.
- Proficiency in troubleshooting and IT-related tasks.
- Ability to excel under pressure in a fast-paced environment, while effectively managing multiple tasks.
Responsibilities:
- Maintain development and implementation of practice systems and processes – this is your project, along with our lovely Practice Manager!
- Assist in managing consultation sessions (including consultant billing) and warmly greet patients.
- Managing inbox, email, website, efax etc.
- Provide exceptional customer service through effective phone/email communication and patient interactions. Be our true Brand Ambassador.
- Managing patient records, including uploading reports/tests/referrals
- Coordinate patient appointments and manage scheduling.
- Perform general administrative tasks, such as scanning, faxing, sorting mail, and managing patient inquiries.
- Managing end of day, week and month financials/reporting.
- Interact with health funds as required including utilisation of ECLIPSE.
- Support the Surgeon with various administrative and ad-hoc tasks.
- Exhibit flexibility and dedication to accommodate the Specialist and the practice needs.
Working Hours/Days:
Monday to Friday 8:30am till 5:00pm (4 days will be considered for the right candidate),

Pay rate: Well above award level
