Real Estate Legal Assistant needed in our Brickell office! The Legal Assistant plays a crucial role in supporting the Real Estate practice group and boosting attorney efficiency by managing information and aiding in the delivery of legal services, including client interactions. This position demands a proactive attitude to ensure tasks are completed on time, exceptional organizational skills, keen attention to detail, and the ability to excel in a high-volume, fast-paced environment. Minimum of three years' experience working in a law firm environment, preferably working with commercial real estate. Bilingual (English/Spanish) highly preferred. Professional-level proficiency in reading, writing, and speaking both languages is essential to serve our clients.
Duties and Responsibilities:

- Provide legal administrative support to Real Estate attorney(s) and paralegal(s).
- Handle general correspondence
- Filing of both physical and electronic documents.
- Taking/placing client calls, connecting all incoming calls, including initial screening for potential clients.
- Responsible for all aspects of client intake including collection of all pertinent information, file opening, engagement documents, etc.
- Schedule and coordinate meetings including videoconferences, and conference calls.
- Managing attorneys’ contacts, schedule, and calendar, including deadlines and reminders.
- Enter time for timekeeper, and print reports as requested
- Track and record billable and non-billable time as needed.
- Revision and formatting of documents
- Processing check requests for vendor costs and trust disbursements
- Finding and retrieving information from files.
- Assist with follow up on AR collection.
- Coordinate projects and daily department functions
- Prepare signature pages for all transaction documents
- Assist in preparations for closing and attendance at closings, whether in escrow or in person
- Review title requirements, research public records for necessary information.
- Compile copies of public records search for corporate searches, such as corporate judgment liens, federal liens, UCC, bankruptcy search.
- Preparation of final owners/lenders policy, draft cover letter to each party and compile package for delivery of same.
- Recording of documents via Simplifile and submission of UCC to be filed with State.
- Assist attorney and paralegal in preparation for meetings.
- Maintain confidentiality of client information.
- Manage information through various firm databases, including but not limited to MS Teams, Word, Excel, iManage, and other platforms.
- Other duties as assigned
