Job Purpose
The Office Manager plays a critical leadership role in ensuring the efficient operation of the business. The successful candidate will oversee daily administrative functions, coordinate office operations, supervise administrative processes, support compliance with NDIS requirements, and assist management in achieving the company's operational and strategic goals.
Key Responsibilities
- Manage the day-to-day administrative operations of the office.
- Coordinate and oversee daily office activities, ensuring administrative services are delivered efficiently and aligned with organisational priorities
- Assist management in planning, implementing and reviewing office systems, administrative procedures and service standards to improve operational efficiency and support business objectives.
- Allocate responsibilities among administrative personnel, monitor work performance, provide ongoing guidance and support continuous improvement in service delivery.
- Coordinate staff rosters, leave records and administrative schedules.
- Monitor office budgets and approve office expenditure within delegated authority.
- Maintain accurate business records and ensure compliance with company policies and NDIS requirements and relevant Australian legislation
- Liaise with company directors, health professionals, support coordinators, external service providers and regulatory stakeholders to coordinate business activities and resolve operational issues.
- Coordinate recruitment processes, employee onboarding, performance review administration, payroll documentation, staff training records and other personnel-related administrative functions
- Monitor office supplies, equipment and service providers.
- Prepare management reports and assist with business planning.
- Review administrative workflows, identify opportunities for process improvements and implement initiatives that enhance productivity and operational performance.
- Ensure confidentiality of participant and employee information.
- Support directors in achieving operational objectives and business growth.
- Monitor office service delivery standards and recommend improvements to administrative systems, resource utilisation and customer service outcomes.
Key Requirements
- Diploma or higher qualification in Business, Management or a related field.
- Minimum two years of experience in office administration, office management or business operations.
- Strong leadership and people management skills.
- Excellent organisational and time management abilities.
- High level of written and verbal English communication.
- Experience using Microsoft Office Suite and cloud-based business software.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong problem-solving and decision-making skills.
- Understanding of workplace health and safety requirements.
- Knowledge of the NDIS sector will be highly regarded.
Working Conditions
- Full-time position (38 hours per week).
- Office-based role in Brisbane, Queensland.
- Occasional travel to participant locations or business meetings may be required.
- Standard Monday to Friday business hours with flexibility to meet operational requirements.
