What this job involves
As a Facilities Assistant, supporting a premier Global Financial Services this dynamic role centres on Front-of-House operations - delivering exceptional workplace experiences through reception support, visitor management, and daily FOH coordination. With the flexibility to step into Back-of-House tasks as needed, you’ll help ensure seamless, safe, and efficient facility operations across the board. You’ll partner with vendors, colleagues, and service teams to uphold JLL’s standards for excellence in integrated facilities management.
What your day-to-day will look like:
Facilities Operations and Workplace Experience
Serve as primary FOH contact, managing visitor registration via EMS, issuing passes, and ensuring a professional first impression.
Maintain high standards in reception, shared areas, and staff kitchens— ensuring cleanliness, stock levels, and equipment functionality (e.g., Nespresso machines, dishwashers, fridges)
Meetings, Events and Workplace Technology
Set up and reset meeting rooms, including food/beverage service and operable wall adjustments.
Provide frontline AV support for Zoom, Microsoft Teams, and Skype; escalate unresolved tech issues.
Ensure meeting spaces are technology-ready and support booking system administration.
Vendor Coordination and IFM Service Delivery Support
Supervise on-site contractors and coordinate vendor access for service visits
Liaise with building management and landlords on operational matters.
Monitor service delivery, follow up on actions, and escalate unresolved issues to support IFM performance.
Safety, Security and Compliance
Report hazards, incidents, and unsafe conditions promptly.
Support emergency preparedness, safety inspections, and compliance documentation.
Adhere to WHS, security protocols, and client-specific workplace policies
Operational Reporting and Site Support
Maintain accurate records for mail, lockers, procurement, and contractor logs.
Support audits, action tracking, and site coordination for Facilities Management leadership.
Assist with operational dashboards and administrative reporting as required.
Operational Performance and Continuous Improvement
Identify opportunities to improve kitchen operations and meeting support
Contribute to service reviews and implement process enhancements that elevate workplace experience and service delivery.
Systems & Reporting
Maintain accurate workplace records, systems, registers, and tracking tools to support workplace requests, visitor management, reporting, and operational activities.
Use workplace systems and Microsoft Office applications effectively while maintaining confidentiality and professionalism when handling workplace and visitor information.
Mailroom, Administration and Operational Support [when required, acting as primary back-up for BOH]
Manage end-to-end mail operations: sort, distribute, log incoming/outgoing mail (including Registered/Express Post), prepare interstate satchels, and compile daily Australia Post manifests.
Arrange courier pickups and freight dispatches.
Process purchase orders and procure office stationery, copy paper, canteen supplies, and archive boxes via iProcurement and Optimum.
Prepare and list cheques per Finance procedures; maintain lost property and storage cupboards

Previous experience in reception, customer service, hospitality, workplace support, or corporate office environments preferred.
Strong verbal and written communication skills with a professional and approachable manner.
Well-organized with the ability to manage multiple tasks, prioritize requests, and respond effectively in a busy workplace environment.
Proactive and customer-focused with strong attention to detail and the ability to follow workplace procedures and processes.
Able to work independently within established procedures while collaborating effectively with workplace and business teams
