We are seeking a highly organized, proactive and tech savvy operations and compliance coordinator to support the growth and operations of a NDIS focused business.
This role involves:
- Managing NDIS compliance processes
- Supporting CRM and operational systems development
- Assisting with invoicing and cash flow administration
- Improving workflows and operational efficiency
- Showing initiative in developing and implementing AI-assisted systems and automations

Key Responsibilities
NDIS Compliance & Administration
- Maintain NDIS compliance documentation and operational records
- Assist with audit preparation and policy management
- Ensure systems and processes align with NDIS standards
- Maintain accurate participant, staff, and operational data
CRM & Systems Development
- Help develop and improve CRM systems and operational workflows
- Build and maintain SOPs, templates, and process documentation
- Identify inefficiencies and recommend operational improvements
- Assist with automation setup and systems integration
- Maintain accurate reporting and workflow tracking
AI Systems & Automation
- Show initiative in identifying opportunities to implement AI tools and automations
- Assist in developing AI-assisted workflows for administration, operations, compliance, and communication
- Research and recommend tools that improve efficiency and scalability
- Help streamline repetitive tasks using automation and AI platforms
- Work alongside management to continuously improve internal systems
Finance & Cash Flow Administration
- Track incoming and outgoing payments
- Monitor and follow up invoices
- Maintain financial tracking spreadsheets and records
- Assist with cash flow reporting and payment reconciliation
General Operations Support
- Assist with day-to-day operational coordination
- Manage administrative tasks and follow-ups
- Coordinate meetings, reporting, and workflow management
- Support business growth initiatives and operational projects
Requirements
- Strong organizational and administrative skills
- Excellent written and verbal English communication
- High attention to detail and confidentiality
- Ability to work independently and solve problems proactively
- Strong systems-thinking mindset
- Comfortable learning and implementing new technologies
- Reliable remote work setup and internet connection
Preferred Experience
- Experience working with NDIS providers or healthcare/disability services
- Familiarity with NDIS compliance requirements
- Experience using:
- Xero
- Airtable
- Google Workspace
- ChatGPT and AI tools
- Operations coordination or executive assistant experience
- Experience building automations or AI-assisted workflows highly regarded
