We are seeking a proactive and organized Administrative Assistant to support our day-to-day operations. The successful candidate will play a key role in coordinating installation projects, managing administrative tasks, maintaining records, and ensuring smooth communication between customers, installers, and suppliers.
Key Responsibilities
- Prepare and issue customer quotations and proposals.
- Follow up with installers and technicians regarding installation progress.
- Maintain accurate records of job status and project milestones.
- Track and update job progress reports to ensure timely completion.
- Coordinate stock purchases and maintain inventory records.
- Manage and update the company complaint register, ensuring issues are logged and resolved promptly.
- Liaise with suppliers, customers, and internal teams as required.
- Maintain filing systems, documentation, and administrative records.
- Assist management with general office administration duties.
Requirements
- Minimum 1 year of experience in an administrative, office support, or coordination role.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to multitask and work independently in a fast-paced environment.
- Strong attention to detail and problem-solving skills.
- Professional and customer-focused attitude.
- Must be an Australian citizen or hold Australian permanent residency (PR)
Desirable Skills (Advantageous)
Experience working with any of the following programs or industries will be highly regarded:
- VEU (Victorian Energy Upgrades)
- STC (Small-scale Technology Certificates)
- Solar Victoria programs
- Renewable energy, solar, electrical, or installation-based businesses.
Pay: $25.00 – $30.00 per hour
