The Consulate General of Ireland, Sydney is seeking a highly motivated, enthusiastic and hardworking person with excellent communication and interpersonal skills to fill a full-time Executive Assistant to the Consul General position on a fixed-term basis of one year, and may be reviewed thereafter.
Roles and Responsibilities:
The precise range of duties will vary over time according to the needs of the Consulate, but will include the following:
- Managing the Head of Mission’s (HoM) diary;
- Managing invitations & logistics for Consulate events;
- Arranging travel for diplomatic staff;
- Logistical support for official visits from Ireland (including arranging bilateral meetings, local transportation, accommodation, etc.);
- Provide high-level executive and administrative support to the Head of Mission, including coordinating the HoM agendas and office communications, representational events, and protocol arrangements;
- Provide effective management of the Ireland House Sydney Chancery to ensure smooth day to-day operations of the mission;
- Position yourself as the main point of contact for all service providers in regards to equipment and property management;
- Organise logistics, travel, and accommodation arrangements necessary to execute the tasks needed for a successful arrival/visit of diplomatic staff, delegations or senior Irish officials/Cabinet Ministers;
- Helping to maintain contact databases; and
- Other duties as required from time to time and directed by the Consul General and Deputy Head of Mission, as necessary.
Essential Requirements candidates must be able to demonstrate:
- Candidates must have at least five years previous professional experience in a similar field;
- The candidate must demonstrate using work based examples of providing excellent interpersonal skills, being persuasive, working in a team, but also dealing effectively with people in external organisations;
- The candidate must provide evidence of flexibility, efficiency and effectiveness, demonstrating strong organisational skills, attention to detail, ability to work under pressure, and to manage multiple tasks;
- The candidate should provide examples of being solutions-oriented, and committed to delivering results, including by adapting approach if necessary;
- Fluency in English (native speaker level) is essential;
- The candidate must demonstrate, using examples, their working knowledge of Microsoft Office Suite (Outlook, Word, Excel);
- All applicants must have a permanent legal right to reside and work in Australia.
Desirable Skills and Experience:
- A good understanding of the role of the Department of Foreign Affairs & Trade, and of the Consulate General;
- The successful applicant will work alongside other local employees of the Consulate General, and will report directly to the diplomatic staff in the Mission. Previous experience in a diplomatic mission is desirable, but not essential.
Terms and conditions of employment:
- The successful candidates will be hired on a fixed-term contractual basis and will be based at the Consulate General of Ireland, Sydney.
- Monday to Friday, 35 hours per week, with standard office hours from 9am –5pm.
- Annual Leave entitlement 22 days per annum.
- The salary for the position is $79,679.00 AUD per annum, paid locally on a weekly basis.
- Salaries are paid direct to a bank account, therefore, the successful candidate must have a bank account.
- The position is full-time working five days per week from Monday to Friday, with occasional out-of-hour requirements.
