About the Role:
Reporting to the Executive Assistant, you will be responsible for creating a welcoming and professional office environment while ensuring the smooth day-to-day operation of our Head Office in Rockdale. As the first point of contact for visitors, employees and stakeholders, you will play a key role in delivering exceptional customer service while providing comprehensive office administration and workplace support.

About You:

Experience in office administration, office management, concierge, workplace services or executive support roles.
Outstanding customer service and stakeholder engagement skills.
Exceptional organisational skills with the ability to manage multiple priorities.
Strong written and verbal communication skills.
Advanced attention to detail and accuracy.
A proactive, solutions-focused mindset.
Strong Microsoft Office skills, including Word, Excel and Outlook.
Experience coordinating meetings, events, suppliers and facilities.
The ability to maintain confidentiality and exercise discretion.
Experience supporting senior leaders or management teams.
Full Australian working rights.
Key Responsibilities:
Manage reception, visitor enquiries, mail and courier services.
Create a professional and welcoming experience for all visitors and employees.
Coordinate meeting rooms, client meetings and appointments.
Set up and maintain meeting and boardrooms, including refreshments and supplies.
Manage office supplies, equipment and facilities.
Coordinate catering, office functions and workplace events.
Maintain filing systems and administrative records.
Prepare, format and proofread documents and correspondence.
Support employee engagement, recognition and workplace culture initiatives.
Assist with administration of employee engagement and awards programs.
Provide administrative support to the Executive Assistant, including expense processing.
Liaise with suppliers and service providers to ensure efficient office operations.
