The Role: As our business continues to grow, we are looking for a reliable, highly organised, and permanent, full-time Office Manager to be the backbone of our day-to-day operations. Reporting directly to the Directors, you will act as the central point of contact for clients, staff, and external stakeholders—ensuring our practices run smoothly, efficiently, and professionally.
Key Responsibilities and Duties
- Operations & Resource Management: Organise, manage, and coordinate staff, workspace allocation, and equipment to ensure the accounting team runs each day efficiently.
- Procurement & Maintenance: Monitor office equipment and supplies, ensuring they are regularly maintained, serviced, and fully stocked to support the accounting team.
- Compliance & Regulation: Ensure all accounting and office operations comply with relevant Australian laws, industry procedures, and Occupational Health and Safety (OH&S) standards.
- Records & Financial Management: Establish and maintain accurate office records, client accounts, and financial documentation in line with ATO and ASIC requirements.
- Process Review & Quality Control: Support the planning and ongoing review of office services within the accounting firm, set clear priorities, and maintain high service standards.
- Stakeholder Coordination: Work closely with accountants, tax agents, clients, and external stakeholders to coordinate day-to-day office activities and ensure operational issues are resolved promptly.
- Personnel & HR Administration: Coordinate team personnel activities, including supervising administrative staff, processing payroll, and organising professional development and training.
- Workflow & Deadline Management: Delegate responsibilities to team members and monitor work status to ensure critical deadlines, particularly Tax and GST lodgement deadlines, are consistently met.
What We Are Looking For (Selection Criteria)
- Education & Qualifications: A relevant formal qualification in Business Administration, Management, or a related discipline (AQF Associate Degree, Advanced Diploma, or Diploma), OR at least 3 years of relevant experience (as per ANZSCO Skill Level 2 requirements).
- Experience: Proven experience in office management, operations management, or a senior administrative role. Experience within a tax accounting, bookkeeping, or professional services environment is highly regarded.
- Technical Skills: Experience utilising accounting and payroll software such as Xero, MYOB, QuickBooks, or KeyPay is highly regarded.

- Proven ability to manage multiple priorities and meet strict compliance deadlines calmly and effectively.
- High level of discretion and trustworthiness when handling sensitive client and financial information.
Remuneration & Benefits
- Salary: $80,000 – $85,000 per annum + 12% Superannuation (commensurate with experience).
- Job Type: Full-time, Permanent (38 hours per week).
- Location: Melbourne, VIC.
