Job Summary:
The Job Organizer/Receptionist is the first point of contact for clients and plays a key role in coordinating daily jobs and supporting the plumbing team. This role involves answering calls, scheduling appointments, organizing job orders, and handling general administrative duties to ensure efficient workflow and top-notch customer service.
Key Responsibilities:
- Answer incoming phone calls and emails in a professional and courteous manner
- Schedule appointments and dispatch plumbers to job sites using scheduling software
- Maintain and update job calendars, records, and databases
- Create and organize job tickets and work orders
- Communicate job details clearly to field staff and customers
- Follow up with customers for confirmations, updates, and feedback
- Assist with invoicing, collecting payments, and managing paperwork
- Keep the reception and office areas organized and presentable
- Support office management with various administrative tasks as needed
Requirements:
- Previous experience in a receptionist, administrative, or dispatch role (preferably in a trade or service industry)
- Excellent communication and customer service skills
- Strong organizational skills and attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Proficiency with office software (e.g., Microsoft Office, Google Workspace) and scheduling/dispatch software
- Positive attitude, reliability, and a team-player mindset
Job Types: Full-time, Part-time
Pay: $25.00 – $30.00 per hour
