Position Summary
The Receptionist plays a key role in ensuring the smooth day-to-day operation of the office. This position is responsible for managing front desk activities, providing exceptional customer service, handling administrative tasks, and supporting legal staff with general office duties.
Key Responsibilities
- Greet clients, visitors, and stakeholders in a professional and welcoming manner.
- Answer and direct incoming phone calls promptly and courteously.
- Manage appointment scheduling and maintain solicitor/s calendars.
- Receive, sort, and distribute incoming mail and correspondence.
- Prepare and send outgoing mail, emails, and legal documents as directed.
- Maintain accurate client records and update information in the firm's management systems.
- Assist with file opening, filing, scanning, photocopying, archiving and document management.
- Ensure reception and meeting areas remain tidy and presentable, including general regular cleaning of the office.
- Handle client enquiries and direct matters to the appropriate staff member.
- Support solicitors and administrative staff with general office duties.
- Maintain confidentiality and comply with all firm policies and procedures.
Skills and Experience
- Receptionist and legal office experience is preferred; however, training will be provided to the right candidate.
- Excellent verbal and written communication skills.
- Strong organisational and time-management abilities.
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel).
- Ability to manage multiple tasks and work effectively under pressure.
- High level of attention to detail and accuracy.
- Demonstrated ability to maintain confidentiality and professionalism.
