The Role
The Client Services Administrator is responsible for supporting customers and ensuring orders are processed accurately and efficiently from enquiry through to completion. This is an administrative and customer-facing role, working with existing and returning clients. The successful applicant will be confident, outgoing and comfortable working in a busy environment where priorities can change quickly.
A background in hospitality, events, hotels, restaurants or another customer-facing environment would be highly beneficial. We are looking for someone with the confidence and personality to communicate naturally with customers, remain calm under pressure and provide an excellent level of service. Strong administration, organisation and attention to detail are essential. Technology and systems experience is beneficial, but not critical as full training will be provided.
What you’ll be doing…..
- Prepare quotations, sales orders, invoices and credit notes.
- Process customer orders accurately across internal systems.
- Answer customer calls and emails promptly and professionally.
- Clarify order details with clients and project stakeholders.
- Keep customers updated throughout the life of their order.
- Maintain accurate customer and order information.
- Work closely with Sales, Operations, Warehouse and Logistics teams.
- Follow up on outstanding information and ensure nothing is missed.
- Resolve customer queries and support Customer Services issues.
- Create miscellaneous invoices and credit notes where required.
- Communicate effectively with Sales Teams in Australia and overseas offices.
- Provide excellent customer service to all customers.
- Support other team members during busy periods.
- Maintain and develop product knowledge.
- Prioritise tasks and problem solve in time sensitive situations.
- Work under pressure and remain calm when priorities change.

Experience we are looking for …..
Previous experience in hospitality, events, customer service, client services or administration.
- Hospitality or other highly customer-facing experience is particularly desirable.
- Experience working in a busy, fast-paced environment.
- Experience dealing with customers by telephone and email.
- Previous administration experience with strong attention to detail.
- Experience preparing quotations, processing orders or supporting sales activities is beneficial.
- Good IT skills, including Microsoft Office.
- Experience with CRM, ERP or order management systems would be advantageous but is not essential.
- A reliable and stable employment history with a willingness to learn and develop.

Additional Information …..
- This is a full-time, office-based position in our Melbourne office.
- Normal working hours are Monday to Friday, with some flexibility required to support Australian and international customers.
- Full training will be provided on our systems, products and internal processes.
- As part of a global business, you will work with colleagues and customers across different countries and time zones.
- Technology experience is beneficial but is not essential for the role.
