St Vincent's Private Hospital Melbourne is seeking a highly organised, proactive and professional Executive Assistant to provide exceptional support to our Chief Executive Officer. This is a unique opportunity to work alongside an experienced executive leader, becoming a trusted advisor and playing a pivotal role within one of Melbourne's leading private healthcare organisations.
Based at our Fitzroy campus, you'll work closely with the CEO while collaborating with senior executives, clinicians and key stakeholders across our Victorian hospitals.

As Executive Assistant to the CEO, you will provide high-level executive and administrative support while ensuring the efficient day-to-day operation of the CEO's office.
This is a dynamic and varied role requiring exceptional organisational skills, sound judgement, discretion and the ability to anticipate needs in a busy executive environment.
Key responsibilities include:

Managing the CEO's complex diary, meetings and daily priorities.

Coordinating Executive meetings, agendas, minutes and follow-up actions.

Preparing presentations, reports and confidential correspondence.

Coordinating events, executive functions and organisational activities across the Fitzroy campus.

Building strong relationships with internal and external stakeholders, including senior leaders across our Victorian sites.

Managing competing priorities while maintaining exceptional attention to detail.

Providing proactive administrative support to ensure the smooth operation of the Executive Office.
You are an experienced Executive Assistant who enjoys working in partnership with senior leaders and takes pride in delivering outstanding executive support.
You will bring:

Demonstrated experience supporting senior executives, ideally at CEO or Executive level.

Exceptional organisational and time management skills, with the ability to prioritise competing demands.

Outstanding verbal and written communication skills.
-
Strong stakeholder management skills and the confidence to engage with people at all levels.

A high level of professionalism, integrity and discretion when handling confidential information.

Advanced Microsoft Office skills, including Outlook, Word, PowerPoint and Excel.

Excellent attention to detail and a commitment to producing high-quality work.

Experience coordinating meetings, preparing agendas, taking minutes and managing executive calendars.

A proactive, adaptable and solutions-focused approach.

The ability to work independently while contributing positively as part of a collaborative Executive team.
Experience within the healthcare sector is desirable but not essential.
