Vines Therapy is seeking a commercially aware, highly organised and improvement-minded Business Enablement Specialist to strengthen the systems, processes and financial operations that support our growing allied health organisation.
This is a broad business operations role with meaningful ownership.
You will help ensure that revenue is accurately captured, funding is effectively tracked, business systems operate reliably, workforce administration remains organised and leaders have the information they need to make sound decisions.
Working within the Central Enablement Team, you will collaborate across the organisation to turn completed service delivery into accurate revenue, improve operational workflows and build the infrastructure required for sustainable growth.

The Opportunity
The Business Enablement Specialist owns the business processes that keep Vines Therapy accurate, responsive and financially sustainable.
A central part of the role is Revenue Operations and Billing Integrity. You will ensure that completed services are invoiced correctly, claims are followed through, funding information remains current and outstanding revenue is actively managed.
You will also contribute across business systems, compliance administration, workforce processes, vendors, reporting and continuous improvement.
This role will suit someone who enjoys taking ownership, bringing order to complexity and developing better ways of working.
Key Responsibilities
Revenue Operations and Billing Integrity
- Coordinate accurate and timely invoicing and claiming.
- Monitor completed services and support timely conversion into revenue.
- Maintain current funding, service agreement and billing information.
- Track funding utilisation and identify emerging risks or discrepancies.
- Investigate rejected claims, billing exceptions and account variances.
- Maintain accounts receivable and coordinate debtor follow-up.
- Reconcile service delivery, invoicing and financial records.
- Identify and address revenue leakage and process breakdowns.
- Coordinate with bookkeeping, accounting, payroll and finance providers.
- Prepare useful revenue, funding and debtor reports for leadership.
Business Operations and Systems
- Maintain reliable operational workflows and business processes.
- Support the administration and improvement of business systems.
- Maintain accurate organisational records, registers and operational data.
- Coordinate system access, permissions and user administration.
- Document recurring processes and improve how work moves across the organisation.
- Develop practical templates, trackers, dashboards and process guides.
- Identify operational inefficiencies and implement workable improvements.
- Support the integration of client, workforce, financial and reporting systems.
Compliance and Organisational Administration
- Maintain compliance records, evidence and registers.
- Monitor worker credentials, screening checks, licences, training and expiry dates.
- Coordinate administrative preparation for audits and organisational reviews.
- Track compliance actions through to completion.
- Maintain policies, procedures and supporting business documentation.
- Support accurate contract, insurance and regulatory records.
- Identify and escalate operational, financial or compliance risks.
Workforce Administration
- Maintain accurate employee and contractor records.
- Coordinate onboarding documentation and workforce administration.
- Support payroll preparation and the collection of required information.
- Monitor probation, credential, training and documentation milestones.
- Coordinate employee changes and routine HR administration.
- Support recruitment administration and new-starter preparation.
- Handle workforce information with professionalism and confidentiality.
Vendors and Business Support
- Coordinate suppliers, subscriptions and external service providers.
- Maintain vendor, purchasing and contract records.
- Support procurement and expense administration.
- Monitor renewals, recurring services and operational commitments.
- Coordinate business documentation required by external stakeholders.
- Provide practical support for priority organisational projects.
Reporting and Executive Support
- Prepare clear operational, revenue and compliance reports.
- Maintain dashboards, action registers and executive trackers.
- Support planning, performance reviews and organisational audits.
- Provide accurate information to support executive decision-making.
- Coordinate agreed actions arising from leadership and operational meetings.
- Bring emerging risks, delays and opportunities to the attention of leadership.
What You Will Bring
You are someone who combines strong attention to detail with an understanding of the bigger business picture.
You will likely bring:
- a passion and experience for working in the allied healthcare and disability sector
- experience in business operations, finance administration, revenue operations, practice administration or a related area;
- confidence working with invoicing, accounts receivable, funding or billing processes;
- strong organisational, spreadsheet and data-management capability;
- an ability to manage competing priorities and follow work through to completion;
- confidence using CRM, practice management, accounting and workflow systems;
- clear written and verbal communication;
- sound judgement when handling confidential or sensitive information;
- an improvement mindset and a willingness to question inefficient processes;
- the ability to work independently while contributing to a collaborative team.
Experience in allied health, disability, NDIS, healthcare or professional services would be valuable. Familiarity with NDIS funding and claiming processes would be highly regarded.
Relevant qualifications in business, finance, accounting, operations, human resources or administration may be beneficial, although practical capability and demonstrated experience will be equally important.
