Primary objective
Provide efficient, high‑level administrative support to the NTPF Armoury Unit, ensuring the accurate completion of daily administrative
and inventory‑related tasks within required timeframes and in a professional, service‑focused manner.
Key duties and responsibilities
1. Maintain, update and track documents, registers and databases for the Armoury using the TRM (Content Manager) record system,
and accurately prepare routine reports, correspondence and documentation.
2. Support the accurate recording of data relating to personal issue and return of accountable use-of-force items within relevant
databases, including the inventory management system.
3. Provide administrative coordination by liaising with internal and external service providers for repairs, maintenance, procurement, IT
services and telephone requirements.
4. Arrange visitor cards, manage security access processes for designated staff, and ensure visitors and contractors are supervised in
accordance with security protocols.
5. Monitor and maintain office supplies and assist with warehouse stocktaking, purchasing, logistics and distribution activities.
6. Liaise with suppliers, generate purchase orders, process and code invoices, ensuring compliance with financial and procurement
requirements.
7. Provide secretarial support for meetings or conferences, including preparation of agendas, papers, and minutes.
8. Contribute to project work aimed at improving the efficiency, compliance and operational capability of the Armoury.
Selection criteria
Essential
1. Hold, or be eligible and willing to obtain, a Firearms Employee Licence.
2. Demonstrated knowledge of administrative and financial practices and processes, and the ability to apply these effectively within an
operational environment.
3. Experience using a range of office technology and equipment to prepare professional documents, data entries and reports.
4. Ability to follow direction, maintain strict security standards, and safely handle firearms and operational safety equipment in
accordance with policy and training.
5. Demonstrated proficiency in computer software and databases, including the Microsoft Office suite, with the ability to assist others
when required.
6. Experience using TRM (Content Manager) or a similar electronic records management system.
7. Well-developed oral communication and interpersonal skills, with the ability to provide a high-quality customer service and work
effectively with people from diverse backgrounds.
8. Proven ability to work independently, manage competing priorities and contribute effectively as part of a team.
9. Organisational and time management skills, with the ability to work under pressure, meet deadlines and solve issues as they arise.
10. Demonstrated ability to maintain confidentiality and exercise sound judgement, tact and discretion when dealing with sensitive
information and stakeholder interactions.
Desirable
1. Experience using computerised ordering or inventory management systems.
2. Previous experience with operational safety equipment, including firearms.
