We're looking for a highly organised, financially minded Client Services Officer to join our Robina team. This is much more than an administration role, you'll play a key part in managing participant funding, ensuring NDIS compliance, and supporting exceptional client outcomes.
Working closely with clients, Support Coordinators, Plan Managers and our Service Delivery team, you'll ensure participant funding is effectively managed, services remain financially sustainable, and every client receives the highest level of support.

About the Role
As the Client Services Officer, you'll support participants throughout their entire journey, from initial enquiry and onboarding through to plan reviews and client exits.
This role combines customer service, financial management and operational coordination, ensuring participant funding is maximised, services remain compliant, and operational teams have the information they need to deliver exceptional supports.
Key Responsibilities:
Financial & Funding Management
- Manage participant funding requests, budgets and expenditure forecasting.
- Prepare accurate quotes, Service Agreements and Programs of Support.
- Monitor funding utilisation and identify potential over or underspend.
- Ensure services remain within approved NDIS budgets.
- Maintain SIL billing, participant funding records and financial reports.
- Support plan reviews and communicate funding changes to relevant stakeholders.
Client Services & Operations
- Manage the client journey from enquiry through to service commencement.
- Build strong relationships with participants, families and stakeholders.
- Maintain participant records within Carelink and SharePoint.
- Implement approved supports into master rosters.
- Monitor NDIS Provider Portal bookings and maintain compliance.
- Work collaboratively with Service Leaders and Area Managers to support quality service delivery.

Essential Skills
- Strong financial literacy and confidence managing budgets.
- Ability to analyse funding and accurately forecast expenditure.
- Excellent analytical and problem-solving skills.
- High attention to detail and numerical accuracy.
- Outstanding communication and stakeholder engagement skills.
- Strong organisational skills with the ability to manage competing priorities.
- Proficiency in Microsoft 365.
Highly Desirable Experience
- Finance, accounting support, bookkeeping or payroll.
- Financial administration or budget management.
- NDIS funding management or disability services.
- Health administration, banking or financial services.
- Knowledge of NDIS Pricing Arrangements and funding guidelines.
- Experience with Carelink or similar client management systems.
Qualifications
- Minimum two years' experience in administration, financial administration, bookkeeping, accounting support or a similar role.
- Certificate III or IV in Business Administration, Finance, Accounting or a related discipline (desirable).
- Current Driver Licence.
- NDIS Worker Screening Check (or willingness to obtain).
