We are looking for an organised and proactive Operations Planner to support the Strategy & Operations team across our national clinic network. Reporting to the General Manager Strategy & Operations, you will play a key role in planning, coordinating and tracking operational initiatives, helping ensure our clinics have a clear and well-managed roadmap of activity.
This is a 6-month fixed-term contract, with the possibility of extension, based in Sydney or Adelaide.
About the role
As the Operations Planner, you will work closely with the General Manager Strategy & Operations and Head of Operations to coordinate workload planning across our distributed network.
You will bring structure to multiple initiatives happening across the business, ensuring activities are clearly documented, actions are followed up and teams have visibility of what is coming and when.
This is not a workforce planning or rostering role. We are looking for someone with strong project planning, coordination and tracking skills who enjoys bringing people and activities together to get things done.
Key responsibilities include:
Workload Planning
- Run workload planning meetings and ensure activities impacting clinics individually, by cluster or nationally are clearly documented.
- Work closely with the Head of Operations and GM Strategy & Operations to plan and document initiatives being rolled out across the clinic network.
- Develop and maintain clear end-to-end plans, including activities, timelines, owners and effort required to deliver initiatives successfully.
- Track progress across multiple initiatives and proactively identify risks, dependencies and potential blockers.
- Capture learnings from initiative rollouts and use these to improve the experience for clinics in future.
- Support the ongoing operations communications cadence, including weekly BDM communications and monthly BDM meetings.
Operations Working Group
- Support Operations Working Group leads to document outcomes, actions, owners and next steps.
- Maintain action registers and follow up with action owners to ensure actions are progressing.
- Work collaboratively with stakeholders to keep initiatives moving and escalate blockers to Working Group leads where required.
- Provide visibility of progress, outstanding actions and key priorities across working groups.
Stakeholder Coordination
- Build strong working relationships across Operations, Category Heads, BDMs, Finance, Marketing, Procurement, Education and IT.
- Coordinate information across multiple teams to ensure operational initiatives are aligned and progressing.
- Help create clarity and structure across competing priorities and initiatives.
- Contribute to a collaborative and solutions-focused approach to operational delivery.
Compliance and Governance
- Work in accordance with MediAesthetics’ values, policies, standards and Code of Conduct.
- Ensure activities are undertaken in line with relevant legislative and regulatory requirements.
- Maintain a high level of professionalism, integrity and accountability when working with company information, assets and stakeholders.
About you
You are highly organised, proactive and enjoy bringing structure to busy environments. You are someone who naturally keeps track of what needs to happen, who owns it and when it needs to be done.
You will bring:
- Previous experience in workload planning, project planning or project coordination, ideally from planning through to execution.
- Strong experience maintaining action registers, tracking deliverables and following up action owners.
- Excellent organisational and time management skills, with the ability to manage multiple initiatives and competing priorities.
- Strong Excel skills and confidence working with trackers, data and planning tools.
- Strong written and verbal communication skills, with the ability to work effectively with a broad range of stakeholders.
- A proactive, self-starting approach and the ability to get up to speed quickly without needing significant direction.
- Strong attention to detail and the ability to create clarity and structure in a fast-paced environment.
- The ability to build strong relationships and confidently follow up with stakeholders to keep work moving.
- Previous experience in communications would be highly regarded.
- Strong PowerPoint and presentation content creation skills would be advantageous.
