We are seeking an experienced and highly capable Business Systems Analyst to play a pivotal role in supporting our organisation's business systems, administrative operations, and digital transformation initiatives.
Reporting directly to the General Manager, this position offers a unique opportunity to combine systems administration, business analysis, executive support, and operational improvement within a values-driven organisation.
About the Role
As the Business Systems Analyst, you will be responsible for the effective administration and continuous improvement of Freemasons Victoria's business systems and office operations. You will lead the management and optimisation of key technology platforms, provide executive support, coordinate organisational processes, and drive system enhancements that improve organisational effectiveness and member experience.
This role is ideal for a proactive and technically capable professional who enjoys working across people, processes, and technology to deliver practical business outcomes.
Key Responsibilities:
Business Systems & Technology

Lead the administration, support, enhancement, and continuous improvement of the iMIS membership management system.
- Manage and support organisational platforms including: iMIS , Microsoft 365 , Microsoft Teams, Power BI
- CRM and other business applications
- Identify and implement opportunities for automation, integration, and digital transformation.
- Develop system documentation, procedures, and user guides.
- Deliver training and support to staff, leaders, volunteers, and stakeholders.
- Ensure business systems align with organisational requirements and best practice.
Office Operations & Administration

Establish and maintain efficient office administration procedures and service standards.
- Manage records, filing systems, document control processes, and office administration functions.
- Drive operational efficiencies and continuous improvement initiatives.
Executive Support & Governance

Provide high-level administrative and executive support to the General Manager.
- Coordinate executive meetings, governance activities, and organisational reporting requirements.
- Support effective communication and coordination across the organisation.
Risk, Compliance & Information Management

Support organisational governance, risk management, and compliance activities.
- Maintain confidentiality and secure management of organisational information.
- Assist with audits, reporting requirements, and policy compliance.
- Support workplace health and safety obligations and reporting.
Events & Stakeholder Support

Assist in coordinating meetings, conferences, events, and stakeholder functions.
- Work collaboratively with staff, volunteers, committees, and external stakeholders to ensure successful delivery of organisational activities.
About You
You are an organised and highly capable professional with strong business systems expertise and a passion for improving organisational effectiveness.
Essential Skills & Experience

Relevant degree qualification in Business Administration, Information Technology, Management, or a related discipline.
- Minimum 3 years' experience in a similar Business Systems, Operations, or Administration role.
- Demonstrated experience implementing, administering, and supporting iMIS software.
- Advanced Microsoft 365 and Microsoft Teams skills.
- Advanced Power BI reporting and dashboard development experience.
- Experience delivering systems training and supporting organisational technology adoption.
- Experience with digital platforms such as: BoardPro, Trello, Skedda, TryBooking
- Strong stakeholder engagement, communication, and relationship management skills.
- Experience coordinating meetings, events, conferences, and organisational functions.
