THE OPPORTUNITY

ABOUT THE ROLE
Reporting to the Administration Manager, you will play a key role in ensuring smooth daily operations. Your diverse responsibilities will include:
- Reception Duties: Manage phone calls, greet clients with a friendly, professional demeanor, and offer refreshments to visitors.
- General Office Support: Handle a variety of tasks such as processing mail, filing, archiving, photocopying, scanning and other general errands.
- Client Assistance: Be the go-to for clients with general inquiries, providing them with excellent service and support.
- Office Supplies: Keep the office stocked with necessary stationery and equipment, ensuring a well-equipped workspace.
- Liaising with the ATO: Assist in preparing correspondence regarding income tax, PAYG, and GST matters.
- Tax Lodgements: Manage the lodgment of tax returns using Xero Practice Manager
- Company Secretarial Compliance: Attend to ASIC compliance matters with attention to detail.
- Workflow & Client Database Management: Support Senior Administrator and Accountants with job workflow and maintain the client database.
- Event & Travel Coordination: Help organise travel arrangements, functions, training events, and catering as needed.
- Office Maintenance: Ensure the kitchen and meeting rooms are well-maintained and presentable for staff and visitors.
- Ad-hoc Tasks: Assist with various tasks to ensure the office runs efficiently.
SKILLS AND EXPERIENCE
- A proactive, “can-do” attitude with a willingness to take on general office tasks and help where needed.
- Strong written and verbal communication skills to ensure clear, effective interactions.
- Exceptional attention to detail and a commitment to producing accurate work.
- Enthusiasm to learn and embrace new tasks, software, and systems.
- Solid computer skills, including the ability to touch-type and proficiency in Microsoft Office applications.
- The ability to work independently, using your initiative to manage tasks without constant supervision.
- Excellent time management skills with the ability to efficiently prioritize and manage multiple tasks.
- The ability to follow instructions and adhere to established processes, systems, and procedures.
- Familiarity with Xero is a plus, but not a requirement.
- Previous experience in a similar role is highly regarded.
