National Operations Coordinator | Guardian Childcare & Education
Some coordination roles keep leaders organised. This one helps keep an entire network connected, supported and running smoothly.
At Guardian, we're looking for an organised, proactive and solutions-focused National Operations Coordinator to support our leadership team and State Office. This is a varied role where no two days look the same. One day you'll be coordinating leadership meetings or planning a large-scale event, the next you'll be supporting executive priorities, managing operational reporting, or ensuring our Richmond office runs seamlessly.
You'll become a trusted partner to senior leaders, bringing structure, organisation and calm to a fast-paced environment while helping deliver a great experience for our teams.
This role is ideal for someone who enjoys variety, thrives on staying one step ahead, and takes pride in creating efficient, well-organised ways of working.
What you'll do:
Executive Support
- Manage complex diaries, calendars and meeting schedules for senior leaders.
- Coordinate travel, accommodation and detailed itineraries.
- Manage leave approvals, expense claims and corporate card reconciliations.
- Support inbox management and executive communications.
- Prepare presentations, meeting packs and key documentation.
- Draft communications on behalf of senior leaders.
Operations & Network Coordination
- Coordinate network-wide communications and reporting cycles.
- Manage operational ticketing workflows and stakeholder follow-up.
- Schedule meetings, workshops and training across the network.
- Maintain SharePoint sites and intranet content.
- Coordinate onboarding and induction activities for new team members.
- Support reporting, trackers and operational governance activities.
Events & Programs
- Coordinate conferences, leadership events, workshops and recognition programs from planning through to delivery.
- Manage venues, travel, catering, communications and event logistics.
- Provide on-the-day event coordination and post-event follow-up.
Office & Team Support
- Help create a welcoming, well-organised State Office environment.
- Coordinate office facilities, supplies and day-to-day operations.
- Support visitors, meetings and team events.
- Assist with office planning and continuous improvement initiatives.

What we're looking for:
You may have come from an Executive Assistant, Operations Coordinator, Team Coordinator, Office Manager, Program Coordinator or Business Support background.
We're looking for someone who:

- Is exceptionally organised and highly proactive.
- Communicates professionally and confidently.
- Enjoys coordinating multiple priorities at once.
- Has excellent attention to detail and strong problem-solving skills.
- Takes ownership and follows tasks through to completion.
- Thrives in a fast-paced environment where every day is different.
You'll also bring:
- Proven experience supporting senior or executive leaders.
- Advanced diary and calendar management skills.
- Strong event and logistics coordination experience.
- Advanced Microsoft 365 skills, including Outlook, Teams, PowerPoint, Excel and SharePoint.
- Experience with reporting, dashboards or Power BI (desirable).
- Confidence using AI and digital tools to improve productivity (highly regarded).
