Introduction:
The Opportunity
Carey Baptist College is seeking an outstanding Personal Assistant to the Head of Secondary to join our Harrisdale Campus.
This is far more than a traditional administrative role. It is an opportunity to become a trusted partner to the Head of Secondary, providing high-level executive support that enables effective leadership across one of the College's largest and most dynamic learning communities.
Every day brings something different. You might be coordinating major school events, managing competing priorities, preparing confidential documentation, supporting staff and families, or ensuring important initiatives continue moving forward. You'll be at the centre of a busy Secondary School, working alongside leaders who are committed to creating an exceptional educational experience for every student.
If you enjoy variety, love working with people, and find satisfaction in creating calm amongst complexity, this is a role where you'll make a genuine difference every single day.
What You'll Gain
This is a role that offers far more than administrative experience.
Working alongside the Head of Secondary, you'll gain exposure to educational leadership, executive decision-making, school operations, governance and strategic planning. You'll develop skills in executive support, stakeholder management, communication and organisational leadership that will benefit you throughout your career.
You'll also become part of a collaborative leadership team where your judgement is valued, your contribution is recognised, and your work has a direct impact on the daily experience of students, staff and families.
Most importantly, you'll know that the systems you strengthen, the relationships you build and the support you provide all contribute to helping young people flourish.
What You'll Be Doing
As the Personal Assistant to the Head of Secondary, you'll play a central role in ensuring the smooth operation of the Secondary School.
Your responsibilities will include:
Providing high-level executive and administrative support to the Head of Secondary.
Managing a busy and ever-changing schedule, ensuring priorities are coordinated effectively.
Acting as a trusted first point of contact for staff, students, parents and external stakeholders.
Preparing correspondence, reports, presentations and confidential documentation.
Coordinating meetings, events and key school activities.
Supporting leadership initiatives and ensuring actions are followed through.
Maintaining accurate records and administrative systems.
Exercising sound judgement when handling confidential and sensitive matters.
Identifying opportunities to improve systems, processes and the overall effectiveness of the Secondary Office.
What Matters Most
We're looking for someone who naturally brings order where others see complexity.
Someone who anticipates what needs to happen before they're asked.
Someone who enjoys building trusted relationships, solving problems and quietly making things happen behind the scenes.
You'll thrive if you enjoy juggling multiple priorities, thinking ahead and supporting leaders to perform at their best. You'll understand when to take initiative, when to seek guidance, and how to communicate with warmth, professionalism and discretion.
This is a role for someone who gains satisfaction from enabling others to succeed.
What You Will Bring
A committed Christian faith and a willingness to actively support the College's mission, Statement of Faith and values.
Demonstrated experience providing executive or senior administrative support in a complex environment.
Outstanding organisational and time management skills, with the ability to manage competing priorities.
Excellent written and verbal communication skills.
Exceptional attention to detail and a commitment to delivering work of the highest quality.
Strong interpersonal skills, with the ability to build positive relationships across all levels of the College community.
Sound judgement, professionalism and absolute discretion when dealing with confidential information.
Advanced Microsoft Office skills and confidence learning new technologies and systems.
A proactive, solutions-focused mindset and genuine enjoyment of supporting others.
