As we continue to expand, we are seeking a highly organised, detail-oriented, and numbers-driven NDIS Administration & Bookkeeping Officer to join our team.
About the Role
This is a dynamic and rewarding role that combines NDIS administration, participant coordination, rostering support, and bookkeeping responsibilities. The successful candidate will play a critical role in ensuring participant records, invoicing, financial transactions, and compliance requirements are managed accurately and efficiently.
This position is ideal for someone who enjoys working with systems, numbers, processes, and people while contributing to the smooth operation of a growing NDIS service provider.
Key Responsibilities
- NDIS Administration & Compliance
- Coordinate the intake and onboarding process for new participants.
- Prepare, issue, and monitor NDIS Service Agreements and Schedule of Supports.
- Maintain accurate participant and staff records within the CRM system.
- Ensure documentation remains compliant with NDIS Quality and Safeguards Commission requirements.
- Maintain audit-ready records and compliance documentation.
- Support general administrative functions across the organisation.
- Accounts Receivable & NDIS Billing
- Create and manage service bookings through the NDIS myplace Provider Portal.
- Prepare and submit NDIS claims via PRODA/myplace.
- Generate and issue invoices through Xero and ShiftCare for:
- NDIA-managed participants
- Plan-managed participants
- Self-managed participants
- Follow up outstanding invoices and aged receivables.
- Investigate and resolve rejected claims and billing discrepancies.
- Monitor participant funding utilisation and billing accuracy.
- Accounts Payable & Bookkeeping
- Process supplier invoices and schedule payments using Xero.
- Complete daily bank reconciliations.
- Accurately code transactions and maintain financial records.
- Manage expense documentation, reimbursements, and credit card transactions.
- Assist with BAS preparation, payroll reporting, and year-end compliance requirements.
- Support external accountants and auditors when required.
- Rostering & Scheduling
- Coordinate support worker rosters and participant schedules.
- Manage roster changes, participant requests, and cancellations.
- Ensure workforce allocations align with participant support requirements.
Apply NDIS cancellation policies correctly and ensure accurate invoicing.

About You
Experience
- Minimum 1–2 years' experience in NDIS administration, coordination, rostering, bookkeeping, or a similar role.
- Demonstrated bookkeeping experience using Xero.
- Experience working within an NDIS provider environment will be highly regarded.
- Knowledge & Skills
- Strong working knowledge of Xero.
- Experience using NDIS rostering and CRM platforms such as ShiftCare.
- Understanding of NDIS Pricing Arrangements and participant budget categories.
- High level of accuracy and attention to detail.
- Strong numerical and analytical skills.
- Excellent organisational and time-management abilities.
- Strong communication and stakeholder engagement skills.
- Ability to work independently and manage competing priorities.
- Mandatory Requirements
- Current NDIS Worker Screening Check (or willingness to obtain).
- Completion of the NDIS Worker Orientation Module.
- Current National Police Check.
- Current Working with Children Check.
- Full working rights in Australia.
