Party Coordinator – Flip Out (Casual)

Flip Out is looking for an organised, people-friendly Party Coordinator to manage our birthday party bookings from confirmation through to the big day. This casual role combines weekday phone-based coordination with weekend oversight of party hosts and parents to keep every party running smoothly.
Key Responsibilities
Weekday Coordination (Monday & Friday)
- Call parents/guests ahead of their booking to confirm party details (date, time, guest numbers, package, add-ons)
- Confirm dietary requirements and any special requests
- Update booking systems with confirmed details and flag any changes to the team
- Liaise with kitchen and front desk on food and room requirements for upcoming parties
- Follow up on outstanding bookings, deposits, or unconfirmed details
Weekend Oversight (Saturday & Sunday)
- Supervise party hosts throughout the day, ensuring each party follows schedule and package requirements
- Act as main point of contact for party parents, answering questions and resolving any concerns
- Oversee the flow between party rooms, café, and trampoline floor to keep the day's schedule on track
- Step in to troubleshoot on-the-day issues (numbers changes, timing clashes, guest concerns)
- Check party rooms are set up, cleaned, and turned over on time between bookings
- Coordinate with kitchen/café staff on food delivery timing for each party
What You'll Bring
- Strong organisational skills and confidence on the phone
- Prior experience in events, hospitality, customer service, or party/function coordination
- Comfortable supervising staff and managing multiple bookings at once
- Calm under pressure, especially during busy weekend turnarounds
- Excellent communication skills, both over the phone and in person
- Team player who can also take initiative and lead on the day
Employment Type
Casual — weekday phone shifts (Monday & Friday) plus weekend on-site shifts (Saturday & Sunday) required.
