Primary objective
Provide comprehensive, confidential, administrative coordination for the Mining Division to ensure quality operation and service delivery.
Assist with administration of the Environment Protection Act 2019 as it pertains to the regulation of mining activities.
Key duties and responsibilities
1. Provide comprehensive and well-coordinated administrative support services for the division, including monitoring and managing
information and data submitted via the division’s generic email address and FTP site.
2. Provide reception service for the division to ensure clients are greeted in a friendly, courteous and professional manner and be the
first point of contact for all incoming phone calls.
3. Provide administrative and facilities support, including overseeing office supplies, recycling initiatives, Fleet management, reporting
building issues and arranging travel.
4. Develop and maintain appropriate procedures and systems to ensure the efficient day-to-day administrative operation of the division.
5. Provide secretariat and administrative support to the division by coordinating meetings/meeting rooms, training courses, events, and
support for working groups / committees as required.
6. Liaise in a discreet and confidential manner with a range of people across all levels of staff within the agency, Executive and other
internal and external stakeholders.
7. Provide administrative support to Executive Directors, Managers and divisional staff as per the requirements.
Selection criteria
Essential
1. Demonstrated experience providing high level administrative support services.
2. Well-developed written, verbal and interpersonal skills with the proven ability to develop and maintain effective relationships with
internal and external stakeholders.
3. Demonstrated ability to work autonomously and deliver within short timeframes while contributing actively as a member of a team.
4. Demonstrated client focus with a significant degree of personal integrity, political sensitivity and ability to maintain confidentiality.
5. High level organisational skills with the ability to plan and prioritise work, to work under pressure, meet deadlines and utilise resources
efficiently.
6. Demonstrated computer literacy skills using a range of computer applications including Microsoft Word, Excel and Teams, experience
with electronic record keeping systems, and the demonstrated ability to learn new systems.
Desirable
1. Experience in using NTG systems such as TRM, TRIPS, VBS and Expense8.
