Our professional education and migration agency, based in Melbourne, is seeking a Migration Administrative Assistant to join our expanding team.
This is a client-facing and detail-oriented role suited to someone who can work in a structured professional environment while also being proactive in identifying new opportunities, exploring potential markets, and supporting client engagement.
Prior migration experience is not required — full training will be provided to the right candidate.
Candidate Requirements:
- Must hold Australian Permanent Residency or be on a PR pathway.
- Strong English skills, with minimum IELTS 7 or equivalent preferred.
- Ability to speak either Cantonese or Mandarin is essential.
- At least 1 year of experience in a professional office environment, with a clear understanding of workplace etiquette, responsibilities, and professional communication.
- Strong communication and interpersonal skills, with confidence in speaking to clients and following up on enquiries.
- Proactive attitude, with willingness to explore potential markets, identify new opportunities, and support client engagement.
- Interest in business development, client communication, and market research within the migration and education industry.
- Strong attention to detail, with the ability to manage multiple tasks and meet deadlines.
- Ability to work under pressure and maintain professionalism at all times.
- Responsible, team-oriented, self-motivated, and eager to learn.
- Willingness to continuously improve knowledge of migration processes, client service, and internal procedures.
Key Responsibilities:
- Assist migration consultants with client applications, including preparing, checking, and managing documents.
- Communicate with clients professionally and promptly via phone, email, and in person.
- Follow up with clients regarding outstanding documents and ensure all submissions are complete and accurate.
- Maintain accurate client records and support smooth workflow using internal systems.
- Support migration consultants in meeting application deadlines and compliance requirements.
- Ensure a high standard of confidentiality, attention to detail, and client service throughout the process.
- Assist with identifying potential client enquiries and new market opportunities.
- Conduct basic market research and support the team in exploring potential client groups and service opportunities.
- Support client engagement activities, including responding to enquiries and assisting with follow-up communication.
- Collaborate with internal team members to support case progress and resolve issues efficiently.
- Continuously develop your knowledge of migration regulations, office procedures, and client service standards.
