Tender Funerals Mid North Coast is looking for a passionate, skilled and organised admin and finance officer to join our team!

Applicants must have:
- High competency in Xero accounting software
- Moderate knowledge of Microsoft Products (word and excel)
- Moderate knowledge of Google Products.
General Administration
- Answer incoming telephone calls and respond to enquiries in a professional, compassionate and timely manner.
- Welcome families, visitors, volunteers and community members to the premises.
- Manage incoming and outgoing correspondence, including shared email accounts.
- Maintain accurate filing systems, records and databases, both electronic and paper based.
- Schedule meetings, appointments and follow up tasks.
- Maintain office supplies, stationery and general office organisation.
- Assist with maintaining office equipment and arranging repairs or servicing when required.
Funeral Administration
- Provide administrative support to the funeral team throughout the funeral arrangement and service process.
- Enter, update and maintain funeral information within ClickUp and other organisational systems.
- Prepare funeral documentation.
- Liaise with doctors, hospitals, cemeteries, crematoria, celebrants, clergy, florists and other service providers to coordinate funeral requirements.
- Register deaths with the Registry of Births, Deaths and Marriages.
- Make bookings for venues, cemeteries, crematoria and other funeral-related services.
- Monitor funeral progress and ensure administrative tasks are completed accurately and within required timeframes.
- Support the preparation of quotes, invoices and funeral documentation.
- Maintain funeral records in accordance with legislative and organisational requirements.
Finance and Bookkeeping
- Process payroll, superannuation, PAYG and other payroll obligations.
- Process accounts payable and accounts receivable.
- Prepare and issue invoices and monitor outstanding accounts.
- Follow up overdue accounts in a respectful and professional manner.
- Process payroll, ensuring accurate and timely payment of employees.
- Reconcile bank accounts, credit cards and financial transactions.
- Process grants, donations, fundraising income and Benevolent Fund transactions.
- Prepare monthly reconciliations.
- Assist with BAS preparation and other compliance requirements.
- Prepare financial reports and supporting information for the General Manager, Board and external accountant.
- Maintain accurate financial records and ensure compliance with organisational policies and relevant legislation.
- Liaise with the General Manager, accountant and finance providers regarding financial matters as required.
Systems, Compliance and Records
- Maintain accurate records across all organisational systems.
- Assist with internal audits, reporting and compliance activities.
- Support the maintenance of organisational policies, procedures and templates.
- Ensure confidential information is handled securely and in accordance with privacy legislation.
- Maintain accurate records for financial, operational and funeral activities.
Team and Community Support
- Provide administrative support to funeral directors, volunteers and the General Manager.
- Assist with the coordination of community education sessions, events and outreach activities.
- Support volunteer administration and onboarding activities as required.
- Participate in team meetings and contribute to continuous improvement initiatives.
- Build positive working relationships with families, suppliers, volunteers, community organisations and external stakeholders.
General Responsibilities

Pay: From $35.80 per hour
