We have an exciting opportunity for an experienced Executive Assistant to join HUB24 as the trusted partner to our Chief Operating & Innovation Officer At HUB24, we're on a mission to create better financial futures through innovative technology, exceptional service and strong partnerships.
We're looking for a highly organised, proactive and relationship-focused Executive Assistant to support our Chief Operating & Innovation Officer (COIO).
This is an opportunity to become a trusted partner to a senior executive leading Technology, Innovation, Enterprise Solutions and Program Management, helping drive leadership effectiveness across a dynamic and fast-paced environment.
This role is based in our office four days per week, with the flexibility to work from home one day per week.
What you’ll be doing
- You'll play a key role in helping the COIO and leadership team operate effectively, stay connected and deliver on strategic priorities.
- Proactively manage complex diaries, meetings, travel and executive priorities.
- Coordinate leadership meetings, town halls, offsites, skip-level sessions and stakeholder engagements.
- Prepare presentations, briefing papers, reports and executive communications.
- Support governance, Board and executive leadership activities.
- Build strong relationships across Technology and the broader business.
- Track actions, priorities and key deliverables across multiple teams.
- Lead and support a Team Assistant/Personal Assistant.
- Drive continuous improvement and smarter ways of working through technology and AI-enabled tools.
For the right person, there is an opportunity to grow into broader business management responsibilities over time.

What you bring

Experience & Skills
- Experienced supporting a C-suite executive or senior leadership team.
- Exceptionally organised, detail-oriented and calm under pressure.
- A natural relationship builder who enjoys working with people across all levels of an organisation.
- Proactive and able to anticipate needs before they arise.
- Confident preparing presentations, executive correspondence and meeting materials.
- Skilled in Microsoft 365, including Outlook, Word, Excel, PowerPoint and Teams.
- Professional, trusted and highly discreet when handling sensitive information.
Experienced supporting governance, Board processes, financial services, technology or transformation teams will be highly regarded.
