In the role of Administration Support Officer, you will collaborate closely with a fellow Administration Officer and contribute to the efficient operations of the Regional Office by providing high quality, professional and confidential administrative support to the regional office staff with an emphasis on the operations of the Client Service Delivery (CSD) product. This role will be based in the Toowoomba CBD.
Responsibilities include:
- Provide efficient and confidential secretarial and administrative support to the Regional Director, and general administrative support to the Regional Management Team and the region as required.
- Provide a diverse range of executive and administrative support services associated with regional operations including, but not limited to, managing SAP transactions, invoicing, accounts payable, accruals, and variance reporting.
- Develop, implement and maintain, procedures and systems to ensure the provision of effective and efficient services to the regional office staff, the Regional Management Team and for the region.
- Assist in the preparation and monitoring of the budget for all CSD services in the region and provide advice to the Manager CSD in regard to financial issues.
- Provide timely and accurate advice to regional staff and stakeholders on corporate services and operational matters.
- Maintain effective office management practices for the regional office, including:
o Assist in the provision of financial administration service.
o Arrange travel bookings for travel undertaken by regional staff and visitors.
o Prioritising and contributing to the quality control of correspondence.
o Co-ordinating arrangements for meetings and prepare relevant materials and information.
o Preparing agendas for meetings, distributing meeting documentation and taking minutes as required.
o Managing telephone messaging and visitors.
o Maintain effective office systems and resources, including stationery, archiving, and the TMR database (SharePoint).
- Provide timely and accurate advice to regional staff and stakeholders on corporate services and operational matters.
- Ensure compliance with departmental administrative processes, including corporate card administration, QFleet, and travel-related tasks such as bookings and cab charge management.
This role reports to the Regional Coordinator.
Role Requirements:
- Travel is a requirement of this position, therefore, it is a requirement that the applicant hold a current 'C' Class Drivers licence.
